We are seeking an enthusiastic and caring individual to serve as the Receptionist at our busy GP surgery. The successful candidate will be the first point of contact for patients and visitors, ensuring a warm and professional welcome.
Responsibilities
* First point of contact for patients and visitors, greeting warmly.
* Manage appointment bookings, amendments, cancellations and new patient set up.
* Answer telephone enquiries, redirect appropriately and take messages for the doctor.
* Ensure patient confidentiality and privacy at all times.
* Process repeat prescription requests and inform patients of normal test results.
* Maintain and update patient records on paper notes and computerized systems.
* Coordinate home visit requests and notify the doctor.
* Maintain filing systems, both manual and computerized.
* Administer petty cash and attend practice meetings.
* Scan letters and medical reports into the computer system.
* Operate IT equipment, troubleshoot basic issues, and contact the Help Desk when necessary.
* Open and close the surgery – disable the alarm system, secure premises, lock and set alarm at day‑end.
* Assist with general cleaning duties if the cleaner is absent.
* Ensure consulting rooms are clean, tidy, and stocked with supplies.
* Work safely and in accordance with legislative requirements and practice policies.
Essential Qualifications
* GCSE English and Maths at grade C/4 or above, or equivalent.
* Previous customer service experience.
* Experience working with the public, face‑to‑face or by telephone.
* Experience working as part of a team.
* Competent IT skills – email, Microsoft Office and clinical admin systems.
* Good written and communication skills.
* Ability to communicate clearly and professionally with patients, colleagues and external services.
* Ability to remain calm, polite and professional in a busy environment.
* Ability to prioritise workload and manage competing demands.
* Understanding of confidentiality and patient privacy.
* Satisfactory DBS check, where required.
Desirable Qualifications
* Experience working in a GP practice.
* Experience working in primary care or an NHS setting.
* Experience using EMIS Web and Docman.
* Previous experience working in a busy reception or administrative environment.
