About The Business Unit
APD overview: Mott MacDonald’s Advisory and Programme Delivery (APD) unit delivers project, programme & commercial management (PPCM) services and advisory solutions across built environment, defence, energy, water, environmental, transportation, health and care sectors. We deliver tailored solutions that address our clients’ key challenges, combining world-leading project expertise with programme delivery capabilities and advisory services. APD delivers services to projects up to £20bn across the disciplines of programme management, project management, project controls, scheduling, cost management, estimating, infrastructure finance, management consulting, digital consulting and education, health and care management.
Role Overview
The Advisory and Programme Delivery (APD) Unit are currently recruiting for a Bid Coordinator. You’ll be a key member of the unit win team, supporting the delivery of bids for a diverse range of clients and you’ll contribute to winning proposals efficiently.
Key Responsibilities And Duties
* Supporting the Bid Team as required on the preparation and submission of each bid against the agreed programme
* Reviewing client bid documentation and completing the bid book (requirements, compliance, deliverables etc), promoting a clear plan to drive submission delivery
* Reviewing client portals to identify tenders of interest and managing the exchange of information including uploading of final documents
* Developing a complete understanding of the formal bidding process within Mott MacDonald and helping staff apply it to specific proposals
* Preparing briefing packs and presenting data to support specific bid milestones, such as kick-off meetings
* Compiling and presenting standard company information for bids and selection questionnaires
* Managing proposal timetables and associated meeting schedules
* Producing high-quality written content, as required, and taking an active role in editing and formatting final proposal responses
* Ensuring that the appropriate bid governance and review processes are followed
* Effectively maintaining the knowledge library and ensuring that information is up to date
* Facilitating the collection of meaningful internal and external feedback on the bidding process to support continuous improvement
Candidate Specification
Essential
* Membership with the Association of Proposal Management Professionals (APMP) (Desirable)
* Knowledge of bidding best practice and an understanding of UK public sector procurement
* Experience supporting bids involving multiple technical contributors
* Excellent attention to detail and organisational skills
* Excellent written and spoken communication skills and ability to present written information in a structured, balanced, and concise way to engage others
* Excellent organisational and time management skills to manage multiple activities simultaneously and prioritise workloads
* Practical application / understanding of basic Office 365 tools
* Able to adapt, understand and tailor approach to different stakeholders
* Basic knowledge of AI tools (e.g. Copilot)
