Job summary
Agincare is looking for a dynamic Facilities & Estates Coordinator to help drive the smooth running of their growing estate. The role involves coordinating reactive and planned maintenance tasks, maintaining accurate records, generating reports, managing purchase orders, scheduling site visits, and providing support to internal teams to ensure all sites remain safe, compliant, and fully equipped to provide outstanding care.
Main duties of the job
As the Facilities & Estates Coordinator, you'll be responsible for coordinating reactive and planned maintenance tasks, maintaining accurate records and compliance documentation, generating reports, managing purchase orders and invoices, scheduling site visits, and liaising with contractors and internal teams. You'll play a key role in delivering a professional, user-friendly service that supports Agincare's commitment to high standards across all their locations.

As our Facilities & Estates Coordinator, youll be at the heart of our Facilities Departmentensuring everything runs like clockwork.From managing maintenance tickets to liaising with contractors and internal teams, youll play a key role in delivering a professional, user-friendly service that supports our commitment to high standards across all Agincare locations.
Key Responsibilities
* Coordinate reactive and planned maintenance tasks via the CAFM system
* Maintain accurate records and compliance documentation
* Generate reports to support performance and planning
* Manage purchase orders and reconcile invoices
* Schedule site visits and liaise with contractors and internal teams
* Deliver support to internal teams, ensuring all sites remain safe, compliant, and fully equipped to provide outstanding care.
* Provide general administrative support to the Facilities Department
* Assist with ad hoc tasks and projects as needed
What Were Looking For
Were looking for a confident, detail-oriented professional with:
* Strong experience in a fast-paced administrative role
* Familiarity with CAFM systems (ideal but not essential)
* Excellent communication skills and a proactive, customer-focused approach
* Ability to liaise effectively with internal teams, contractors, and suppliers
* Solid Microsoft Office skills and a collaborative mindset
