We are looking for an Operations/ Admin Manager to assist the Business Manager with the running of the GP surgery on a day-to-day basis. GP/ NHS Practice experience is desirable as deputising for the BM will be necessary.
25- 35 hours suggested for the role however, other hours will be considered. Pay will be dependent on experience.
The role will suit an individual looking to progress from Admin manager to becoming a Operations Manager or you may be ambitious and looking to progress.
Experience of EMIS clinical system, Docman and Accurx is desirable along with good IT skills.
The role will require flexibility, a can-do attitude, and ability to work in a busy environment.
The role will suit an individual who can adapt to change, work autonomously, manage projects, development and implement new ways of working and processes within the practice.
You will have the ability and desire to further improve the IT functionality within the practice such as online patient access, surgery website, patient electronic communications and to make efficient use of available systems.

Main duties of the job
This role requires a candidate who can work flexible withina team and autonomously with attention to detail and ability to meet deadlines.
The role will involve all aspects of the practice including attendingPCN, PM, PPG and internal and external meetings, premises maintenance, ITsupport, HR, patient communications such as website or dealing with grumbles orcomplaints, CQC preparation, practice administration and interaction withpatients.
Management of the teams and individuals will be requiredparticularly in the Business Manager absence along with crisis management ofissues such as disaster management, loss of services such as IT Equipment,telephones, etc.
Patient healthcare needs are at the forefront of ourpractice day to day operations, you should be familiar with QOF achievement andthe NHS healthcare setting. You willassist in the planning of clinics to ensure we have a successful patient recallsystem.
You will need to be motivated to work within the team in abusy GP surgery and be able to adapt to a varying day to day requirements ofthe role. Flexibility and a can do attitude will be required along withresilience.
This role will evolve as the style of working within the NHSand within a primary care network changes and practices work morecollaboratively together over the next few years.

We have a nursing team, clinical pharmacist, social prescriber, well-being coach and in house Physio who work alongside the reception and admin team.

Job responsibilities
Tasks:
1.Work to identify and resolve any problem areaswhich arise and escalate any problems including any staffing issues to the Business Manager.
2.Recommend improvements to how we could work moreefficiently and review administration systems so there are establishedefficient ways of working.
3.Ensure staff are trained to provide cover forall the administrative functions and patient queries so we have a multi-skilledflexible team.
4.Communicate with all staff and keep them up todate.
5.Responsible for communications with patientsincluding complaints handling, website, online patient access, patientnewsletters.
6.Support practice management with new projectsand developments and practice administration.
7.Ensure the practice maximises patient healthcareso we achieve maximum QOF achievement.
8.Assist Business Manager with recruitment and HRfunctions.
9.Review and maintain up to date polices andpractice administration such as minutes.
10. Helpto organise staff rotas and coordinate holiday requests to ensure there isadequate cover at all times.
11. Ensurethe work environment is kept clean, tidy and well organised, paying dueattention to health and safety.
12. Ensurethe practice is compliant with any NHS, Information governance, CQC, or healthrelated requirements.
13. Workclosely with the Business Manager to provide support as and when required.
Thislist is not exhaustive. You will be required to complete other tasks reasonableto your role to ensure the practice operates efficiently.
This role will require working flexibly at times. There willbe a need to cover some of the workload directly, you will need to cover in theabsence of the Business Manager at times or represent the surgery at meetings.
