This role is a 12-month fixed term contract. About The Role In this role you will assist two Senior Partners who form part of our Senior Leadership Team and sit on our Management Board. You will assist them with their day-to-day duties, as well as providing full administration support for Management Board meetings as well as the Preferred Members Consultation Group, together with other groups and committees as appropriate. The successful candidate will be adaptable, highly organised, proactive in forecasting forward, professional and have prior experience working as a PA/Executive Assistant in a similar role. Key Responsibilities Extensive diary management Drafting emails Distributing email notes to various staffing groups on behalf of Senior Partners Amending documents Monitoring inbox Booking travel and accommodation Booking lunch / dinner reservations Arranging meeting dates, hot desks and parking Arranging internal and external meeting spaces Expenses Arranging attendance at regional office Partner meetings Arrange adhoc senior level recruitment interviews Monitor SMT annual leave Manage Partner & Director meeting schedules Updating Committees and Contacts spreadsheet Processing invoices for external Consultants Maintaining Partner and Director spreadsheet based on new starters / leavers Full administration of Partner & Director & Management Board area on the intranet Full administrative support for annual processes including; Partnership Elections Promotions MRC Full administration for Management Board and Preferred Members Consultation Group meetings Requesting agenda items Drafting agendas Collating Board packs / presentations Monitoring meeting attendance Minute taking Your Skills And Qualifications Experience: Proven experience as an Executive Assistant or in a similar role, preferably within a law firm or professional services environment. Skills Diary Mastery: Proven experience juggling highly complex schedules. Strong problem-solving skills and the ability to work independently. Proactive in forecasting forward Excellent communication skills: Comfortable engaging with stakeholders at all levels. Detail-Oriented: Delivering high-quality output with precision. Tech Know-How: Proficient in IT particularly, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). with great analytical skills and attention to detail.
