THE ROLE
To support the team in delivering the highest quality facilities management services to both occupiers and customers at the designated retail sites and any other sites that British Land may add to the portfolio from time to time. To oversee the operational and technical service delivery and the management of relevant service partners and contractors. To ensure that all risks are appropriately managed or mitigated and that all sites meet and maintain statutory requirements and remain fully compliant.
WHAT YOU’LL DO
Operational Management
1. Manage all essential maintenance and repair programmes
2. Ensure that robust planned preventative maintenance & life cycle replacement programmes are in place for fabric, mechanical and electrical items and plant.
3. Undertake regular documented site inspections, uploading reports at the required frequency. Ensure effective management of sub-contractors with KPI’s set and managed effectively to ensure full contract delivery.
4. Ensure the properties are maintained in a safe and secure state and where necessary arrange and supervise maintenance works via the relevant service providers
5. Regularly review operational processes and procedures to ensure both compliance and best practice are maintained
6. Ensure all equipment at sites is kept serviceable and fully maintained in line with manufacturers recommendations
7. Implement car park management strategies to maximise available parking for customers
8. Deliver all services within pre-agreed budgets, carrying out tenders and raising orders as required Part of the British Land group of companies.
9. Ensure all shop fit and development works are run safely and in line with British Land procedures.
Occupier Liaison – Cleveland Retail Park Only
10. Be the first point of contact for issues raised by occupiers, customers and via the helpline & website and to resolve these as quickly and efficiently as possible.
11. Regularly visit and liaise with occupiers to build strong relationships and to quickly resolve any service issues they may have.
12. Carry out regular inspections to ensure that occupiers are complying with their repair and maintenance obligations and other management regulations
13. Report to internal stakeholders (Asset Manager, Surveyor, Leasing Manager etc) on changes in occupational status, alterations or other works taking place that have not been previously agreed
Relationships and Team Motivation
14. Develop a close working relationship with all suppliers and service partners to ensure that they fully understand the required standards and the aspiration to create Places People Prefer.
15. Ensure all service partner site staff are trained to provide high quality customer service and understand their role in delivering the best possible customer experience
16. Establish appropriate external relationships to represent the interests of the owner and occupiers in the wider community.
Sustainability and Community
17. Implement and monitor the environmental strategy for each site, including waste and energy management, to meet British Land’s environmental and sustainability targets
18. Monitor and respond to issues that affect staff wellbeing.
19. Ensure any charities working on site are authorised and appropriate paperwork and fundraising totals are logged on the landlord’s system
Health & Safety
20. Ensure the HSE policy is implemented and that all on-site staff are aware of their responsibilities and duties
21. Update the Health & Safety on-line reporting system and ensure all certification and identified actions are completed within the allocated time
22. Ensure a full set of Risk Assessments exist appropriate to each property and that Permits are issued where required.
23. Help prepare and ensure readiness of business continuity plans.
24. Review and monitor contractor work permits, site risk assessments and landlord compliance measures using approved web-based platforms and systems.
Additional Responsibilities
25. Attend any site in the event of an incident or emergency and report back as soon as possible to appropriate personnel.
26. Attend relevant CPD, conferences and trade shows to maintain industry knowledge and be aware of innovations and best practice. Make recommendations of what you believe could be adopted at our properties to improve service provision or improve efficiency.
27. Ensure a good understanding of the sites Incident Management Plan to ensure safety of on-site personnel and visitors.
28. Perform a Duty Manager role as required.

29. To achieve all deadlines relating to health and safety reporting guidelines.
30. To ensure 100% compliance with all health and safety documentation
31. To ensure 100% compliance with all sustainability, environmental, and energy data requirements and requests.
32. To respond in a timely manner to all head office requests for information
ABOUT YOU
33. Experience of delivering high quality FM services in a customer focused, complex and demanding environment.
34. Experience of managing multi sites or large major works projects.
35. Robust technical background and practical experience of both hard and soft services
36. The ability to communicate effectively with a wide range of colleagues at all levels and with external stakeholders and contractors
37. Knowledge of health and safety regulations and best practice affecting site management.
38. Qualified to IOSH level
39. Flexibility and adaptability to changing business requirements
40. Experience of setting and managing budgets.
41. Experience of multi-site facilities management
42. Full UK driving licence and access to own vehicle
43. Desirable – NEBOSH General or Construction
44. Desirable - Membership of relevant professional body.
