About The Role

The role involves job sharing with another Band 2 receptionist, working closely with our wonderful team. Responsibilities include checking patients in, preparing blood forms, booking and overbooking appointments for our onsite phlebotomy area and booking appointments for our Bloods Closer to Home service.


Key Responsibilities

* Communicate complex appointment information to patients.
* Handle patients who may be anxious, angry or upset with compassion.
* Liaise with staff regarding case notes and patient visits.
* Maintain patient confidentiality.
* Work as part of a team and exchange appointment information verbally and non‑verbally.
* Resolve issues arising within the role such as cancellation of appointments.
* Use patient information systems to assist staff and patients.
* Assess patient demographics and alert management if they do not meet eligibility criteria.
* Plan patient consultations and blood appointments.
* Ensure annual leave does not clash with colleagues’ leave.
* Update patient systems with appointment changes.
* Use patient information systems, standard keyboard skills and office equipment (PC, fax, printer, phone).
* Provide advice to patients and relatives about appointments.
* Signpost patients to other areas of the hospital.
* Follow relevant policy and legislation.
* Collaborate with colleagues to ensure policies are adhered to.
* Deliver induction/support to new post holders.
* Demonstrate workplace routines to less experienced staff.
* Update patient demographics, enter appointments and outcomes, print patient labels and diary lists.
* Follow all relevant protocols, SOPs and standard practice.
* Plan and organise own workload with prioritisation.
* Use own initiative to solve problems and answer staff and patient enquiries.
* Work involving periods of sitting at a keyboard, concentration, unpredictable pattern of work due to unplanned patients, staff absence or patient illness.
* Interact frequently with terminally ill patients, receive distressing phone calls and handle emotional situations.


Personal Qualities

* Enthusiastic, polite, friendly, calm and with an empathic nature.
* Excellent communication skills, both face‑to‑face and telephone.
* IT and administrative proficiency.

Working Environment

* Required continuous use of VDU for patient management.
* High‑traffic reception area with frequent exposure to physically ill patients.
* Regular interruptions by phone calls and patients; work pace influenced by unplanned patient arrivals, staff absence and illness.
