Executive Support Administrator Location: Coventry Salary: £34,000 £37,000 per annum Hours: Monday to Friday, 8:00AM 5:00PM Overview Are you an energetic, proactive, and highly organised administrator ready to make a meaningful impact? Were offering an exceptional opportunity to join a high-performing, people-first organisation in our beautiful, modern Coventry offices. As Executive Support Administrator, youll work closely with the Executive Assistant (EA) to the Chief Operating Officer (COO) as part of a dynamic administration department. Our team is led by the EA/Administrative Operations Manager and includes three other talented administrators. This role is more than just admin: youll become a trusted partner across the business, coordinating key meetings and events, supporting new starter inductions, and contributing to strategic projects and initiatives. Key Responsibilities Provide high-level administrative support to the EA, preparing presentations, spreadsheets, documents, and meeting packs. Collate, prepare, scan, organise, and store information accurately. Organise and schedule meetings; follow up on actions with Senior Leadership Team (SLT) members to ensure timely completion. Arrange travel and appointments for Directors as required. Support onboarding and induction activities to deliver a welcoming, professional experience for new starters. Draft, circulate, and accurately record meeting minutes. Act as a key point of contact for internal teams and external stakeholders, ensuring smooth communication. Support internal events, training sessions, and company-wide activities. Track budgets, raise invoices and purchase orders (POs), liaise with suppliers, and assist with basic financial tasks. Support cross-departmental projects as needed. Maintain confidentiality and discretion at all times in handling sensitive information. Ideal Candidate Profile Experience Proven experience as an Office Administrator/Coordinator, Team Assistant, or Executive Assistant. Comfortable supporting senior leaders in a fast-paced environment. Skills Strong organisational and planning abilities, with the capacity to manage multiple priorities. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Excellent written and verbal communication skills with a professional, approachable manner. Confident preparing reports, presentations, and professional documentation. Financial administration experience (e.g., invoicing, budgeting) is advantageous. Event coordination experience is desirable. Familiarity with modern office/collaborative tools is a plus: SAP for administrative/financial processes Canva for designing presentations/materials Miro or Microsoft Planner for collaborative planning Personal Attributes Energetic and proactive with a genuine can-do attitude. Highly discreet and trusted to handle confidential information with integrity. Team player who contributes to a positive working culture. Calm under pressure and adaptable to changing priorities. Self-motivated with a service-oriented mindset.
