We are delighted to be recruiting for the position of Estate Administrator on behalf of our client.
The successful candidate will support the Estate Manager with the day to day running of Virginia Park, a 24-acre residential estate with communal facilities. The role is mainly office based but occasionally involves helping at estate events and liaising directly with residents, contractors, and visitors.
Key Responsibilities:
* Resident Support – Handle enquiries by phone, email, or in person, making sure issues are logged, resolved, and communicated clearly. Provide welcome packs and inductions for new residents.
* Administration – Keep records and databases up to date, manage invoices and purchase orders, and oversee booking systems for estate facilities (gym, pool, chapel, tennis court).
* Contractor Management – Liaise with contractors for maintenance, repairs, and security, making sure work is completed to the right standard and all certificates/insurance documents are held on file.
* Events & Communication – Help plan and deliver estate events (e.g. AGM, Christmas concert), draft resident communications, and maintain the residents' Facebook group in line with policy.
* Health & Safety – Support compliance by arranging regular checks (fire alarms, extinguishers, lifts, security equipment) and keeping safety records up to date.
* Finance Support – Occasionally assist with issuing invoices and following up on payments under the Estate Manager's direction.
Person Specification:
Essential:
* Strong administration and office experience.
* Excellent written and verbal communication.
* Confident, professional, and customer focused with strong people skills.
* Able to prioritise and manage multiple tasks effectively.
* Team player with good organisational skills and attention to detail.
* Proficiency in Microsoft Office.
Desirable:
* Experience in residential estate management or a customer-facing role.
* Knowledge of data protection and health & safety procedures.
* Experience with online booking systems.
* Basic accounting knowledge (AAT Level 1 or Sage experience).
* First Aid qualification.
Location, hours and benefits:
* Office based in Virginia Water.
* Monday to Friday 9am-5pm.
* 37.5 hours per week.
* Full time, permanent.
* £28,000 per annum.
* 10% company pension contributions after 3 months employment.
* Annual leave entitlement - 25 days.
* Bank holidays off.
