Job Title: Business Support Coordinator

Location: Multi-site role covering Alcove offices including Woolwich, Dagenham, and Colchester, with flexibility to work from home where business needs allow.

Job Type: Full-time, 37.5 hours per week. Shift-Based Rota: Monday to Sunday.

Salary: £27,500.00

Job Overview:

We are seeking a highly organised, proactive, and professional Business Support Coordinator to join our growing team. Sitting between the Business Support Manager and the wider Business Support team, this role provides crucial operational and team support. You will work closely with the Business Support Manager to ensure smooth processes, effective supplier and client communications, accurate financial handling, and efficient mobilisation of contracts and offices.

The role also requires leadership qualities, supporting the development of team members, while providing flexible office-based cover across multiple locations to maintain continuity and high-quality support services.

Key Responsibilities:

Supporting the Business Support Manager:

* Handle purchasing requests and ensure timely processing of invoices, including retrieving, checking, and forwarding supplier invoices to the Accounts team.
* Support in reviewing and updating processes to drive efficiency, consistency, and scalability across operations.
* Assist in maintaining supplier communications, updating price books, and coordinating internal communications to inform relevant teams of any changes.
* Collaborate on SIM account management, ensuring efficient cancellations, audits, and accurate record keeping.
* Contribute to the mobilisation of new contracts and office setups, ensuring smooth transitions.
* Support training of new Business Support team members.

Supporting the Wider Team and Offices:

* Provide day-to-day support to Business Support staff across sites.
* Deliver flexible office-based support across locations (currently Woolwich, Dagenham, and Colchester, with additional offices anticipated with future growth), ensuring workloads are managed effectively and business support KPIs are met.
* Office cover during staff absences or annual leave, ensuring continuity of service delivery.
* Coordinate and support quarterly stock checks, working with staff to resolve discrepancies identified during audits.
* Chair team meetings, producing clear summaries of discussions and actions, while raising any issues or concerns with the Business Support Manager in their absence.

Essential Skills:

* Process & Systems Management – skilled at reviewing, improving, and maintaining workflows and operational processes.
* Financial & Analytical Skills – demonstrates strong financial awareness with an understanding of budgets, supports effective invoice management, and ensures cost efficiency to maximise savings for the business wherever possible.
* Technical Proficiency – advanced Microsoft Office skills and experience with CRM (e.g., Salesforce), stock management, and reporting.
* Leadership & People – engage, motivate, and support business support staff, fostering a positive and productive team culture, leading by example.
* Strategic & Forward-Thinking – anticipates challenges, considers long-term impacts on the business support team and wider teams within Alcove, and contributes innovative ideas for operational improvements.
