To be responsible forundertaking a wide range of secretarial and administrative duties and theprovision of administrative support to the multidisciplinary team. Duties can include but are not limited to,the processing of information (electronic and hard copy) in a timely manner,liaising with multidisciplinary team members and external agencies such assecondary care and community service providers in accordance with currentpolicies, including the use of the electronic referral service (ERS).


Main duties of the job

* Typing/ Audiotyping letters, reports and associated documentation asrequired
* Liaising with external agencies such as hospitals and communityservices, ensuring referrals are processed efficiently.
* Manage all enquires in an effective manner
* Maintain an accurate referrals database
* Action all incoming tasks.Maintaining accurate patients healthcare records.
* Process referrals using the electronic referral system (ERS) andmanaging worklists.
* Process requests for information/ non- NHS services i.e. SAR, insurance/ solicitors letters and DVLA forms etc.
* Read code data on SystmOne where required.
* Answer incoming phone calls and dealing with the callers requestappropriately.
* Managing online requests and completing them in timely manner.
* Support all clinical staff with general administrative tasks asrequested
* Liaise with medical representatives and help with arranging preparationsas appropriate.
* Any other duties that may be reasonably expected of the post holder forthe provision of services as directed by the General Manager.

Job responsibilities

Job Summary

Responsible for carrying out a broad range of secretarial and administrative tasks, providing comprehensive support to the extended teams. Responsibilities include, but are not limited to, timely processing/actioning of information in both electronic and paper formats, effective communication with team members and external agencies such as secondary care and community service providers, and adherence to current policies. A high degree of confidentiality, sensitivity, discretion and tact is required in this role.

Main Duties

The post holder will be required to undertake

The post-holder may access confidential information relating to patients, carers, staff, and the practice as a business. Such information must be treated as strictly confidential and only shared with authorised individuals in accordance with practice policies and data protection regulations.

* Recognise peoples needs for alternative methods of communication and respond accordingly.

Person Specification


Qualifications

* Educated to GCSE level or equivalent
* GCSE Mathematics & English (C or above)
* NVQ Level 2 in Health and Social Care


Experience

* Experience of working face to face with the general public
* Experience of administrative duties
* Experience in a GP Practice or Health Care Organisation
* Experience of working in a health care setting as a medical secretary
