About the role:
As an Administrative Assistant, you will be responsible for handling various tasks such as managing the Director’s calendar, creating invoices, chasing payments, reconciling contract costs, updating payment details, sending invoices, and much more. Your keen eye for detail and excellent organisation skills will play a pivotal role in ensuring our business operates smoothly and efficiently.
To excel in this role, you should have proven administrative experience in the construction industry with knowledge on CIS deductions, payroll, contract retentions, payment applications and variation costings. Strong communication skills, and a proactive approach to problem-solving is required.
Job Details:
* Once you’re fully up to speed, you’ll be responsible for
* Managing the Director’s calendar and scheduling appointments/ meetings
* Managing Quick Books software
* Sending invoices and keeping track of outstanding payments
* Assisting in the organisation and preparation of documents, materials and projects
* Answering phone calls and emails, and directing inquiries to the appropriate team member
* Ensuring that our database and records are accurate and up-to-date
* Collaborating with team members on various projects and tasks
* Identifying areas of improvement and suggesting solutions to streamline operations

* Have proven experience in similar administrative roles
* Be highly organised, detail-oriented, and able to juggle multiple tasks simultaneously
* Possess excellent written and verbal communication skills
* Be proactive and resourceful in problem-solving
