Why this role matters
The primary function of this role is to act as the central point for the successful execution of sales by monitoring and tracking all activities and elements related to clients. The Sale Coordinator will act as a liaison both internally and externally to gather or dispatch consignment and property related information. The successful candidate must be a dynamic problem solver, organized, calm under pressure, and be able to communicate with professionalism and clarity to key stakeholders across the Luxury division, senior team members, clients, and internal departments.
How you'll make an impact
* Liaise with clients and Specialists as needed for all consignment- related business, contracts and problem solving.
* Ensure pre-sale compliance checks are complete and ensure post-sale settlement statements accurately reflect agreed financial terms.
* Manage Seller Agreement and Stock Order creation with Business Support Group for auction property and dispatch paperwork to sellers for signature promptly and follow up accordingly
* Work with auction related Excel documents for tracking auction property progress
* Collaborate with support departments such as Shipping and Operations to manage inbound/outbound property and contract-related promises.
* Work with Head of Sale Management on costs review and manage and track charges
* Request and track temp releases, hand carries, and property movements such as site transfers and local transfers
* Manage exhibition-week activities including interest reports and provide support with sending out condition reports
* Manage buyer post-sale enquiries by acting as the main point of contact with the Post Sale Services Team
* Preparation of meetings including room bookings, video conference & conference call facilities and catering.
* Oversee departmental assistants
What you’ll bring to the team
* Bachelor’s degree required, or equivalent work experience
* Strong project management skills including timeline management and the ability to multi-task and prioritize
* Knowledge of handbags or a proactive willingness to learn
* Strong attention to detail and follow-up skills
* Superior client service skills
* Ability to collaborate and problem solve across multiple teams and sale sites
* Ability to work with discretion when dealing with highly confidential information
* Ability to remain calm in stressful situations
* A prior experience in an auction house and/or knowledge of the auction workflow preferable
* Strong knowledge Outlook inbox management, Excel, Sharepoint and Teams required, and ability to learn Christie’s systems such as COS and JDE
