Job Summary

We are seeking a highly organised and detail-oriented Administration Executive to join our team. The successful candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing communications, and maintaining efficient office processes. This position requires a proactive individual with strong computer skills and the ability to handle various administrative tasks effectively.

Responsibilities

* Provide comprehensive administrative support to management and staff.
* Manage phone communications with professionalism and courtesy, ensuring effective phone etiquette.
* Maintain accurate records through data entry and clerical tasks, ensuring information is up-to-date and accessible.
* Organise and schedule appointments, meetings, and travel arrangements as required.
* Utilise Microsoft Office Suite and Google Workspace for document creation, presentations, and data management.
* Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
* Collaborate with team members to streamline office processes and improve efficiency.
* Handle incoming correspondence, directing it to the appropriate personnel as necessary.
* School Administration (supported by Director of Studies)
* Manage student records, enrolments, attendance registers, and progress reports.
* Handle correspondence with students, parents, agents, and partner institutions.
* Prepare and distribute class timetables, handouts, and certificates.
* Scheduling & Coordination
* Support the Director of Studies and teaching staff with lesson schedules and classroom allocations.
* Organise placement tests, assessments, and exam registrations.
* Assist with planning and coordinating extracurricular activities, excursions, and cultural events.
* Operational & Financial Support
* Process invoices, tuition payments, and petty cash.
* Monitor and order teaching materials, stationery, and school supplies.
* Support Onboarding Documents.

* Support compliance with safeguarding, health & safety, and accreditation requirements.

* Student & Visitor Support
* Assist international students with practical queries (local transport, accommodation, school policies).
* Ensure clear communication of school rules, schedules, and updates.

Skills

* Proven office experience with a strong background in administrative roles.
* Excellent computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets).
* Familiarity with QuickBooks for basic accounting tasks is advantageous.
* Strong organisational skills with the ability to manage multiple tasks simultaneously.
* Effective typing skills with attention to detail for accurate data entry.
* Previous clerical experience is preferred, demonstrating an understanding of office procedures.
* Exceptional phone etiquette and communication skills to interact professionally with clients and colleagues.
