The Community Administrator plays a pivotal role in the smooth and efficient running of the synagogue and is one of the first points of contact for members, prospective members, clergy, lay leaders, volunteers, and external stakeholders.
This role works closely alongside the existing Community Administrator, jointly ensuring continuity, consistency, and high standards of administration across all aspects of community life. The postholder will provide mutual cover and support, ensuring essential tasks are carried out during periods of absence and at busy times. The role provides proactive, professional, and efficient administrative support to the Rabbi, staff, honorary officers, and volunteers, supporting synagogue operations, events, facilities, and life‑cycle needs.
General Admin & Office Support
* Work collaboratively with the other Community Administrator to ensure the effective day‑to‑day running of the synagogue office.
* Provide administrative support across all aspects of community life, including religious services, events, and rabbinic administration.
* Manage the synagogue office inbox, responding to or triaging enquiries appropriately.
* Answer telephone calls, manage voicemail messages, and deal with enquiries in person.
* Open, distribute, and manage synagogue correspondence.
* Communicate with Honorary Officers and lay leadership on administrative matters.
* Act as a welcoming, supportive, and professional presence within the community.
Communications & Community Engagement
* Coordinate information flow between staff, clergy, lay leaders, and volunteers.
* Maintain and manage a shared digital calendar for all services, events, and room bookings, avoiding clashes.
* Produce and distribute the synagogue’s weekly newsletter, working with the Chair and Executive.
* Maintain noticeboards and ensure information is current and clear.
* Manage and update the synagogue website and support website development projects.
* Use social media platforms (e.g. Facebook, X/Twitter) to promote synagogue activities under rabbinic oversight.
* Initiate and support mailings, communications, and promotional activity.
* Send condolence letters, Mazal Tov cards, birthday cards, and other correspondence where appropriate.
Membership Administration
* Help administer new member applications and provide information to new members when required.
* Provide membership data and analytics to the Honorary officers / Rabbinic team.
* Encourage people who enquire about membership to join and assist them to complete membership application forms as and when required.
* Actively use all media available to promote the Synagogue including but not limited to Twitter (X), Facebook and appropriate social networking sites.
* Work in conjunction with the Synagogue management to actively retain members.
* Assist the Health & Safety Officer to ensure all aspects of Health & Safety are adhered to in line with United Synagogue Policy and Procedures.
* Ensure notice boards are kept up to date.
* Maintain the membership database, collecting updated member contact details when required.
Life Cycle Events
* Liaise with members, clergy, wardens, and volunteers regarding lifecycle events, including:
o Births, Bar/Bat Mitzvahs, weddings, and bereavements.
* Coordinate relevant dates, call‑ups, and arrangements with the Rabbi and wardens.
* Arrange practical resources for funerals and shivah (e.g. chairs, prayer books).
* Ensure timely notification of bereavements to the community.
* Create, distribute, and monitor monthly and weekly Yahrzeit communications.
* Provide wardens and clergy with weekly Yahrzeit lists.
* Liaise with the Community Care/Bereavement Team to support members in need.
* Support the organisation and delivery of religious services, kiddushim, and community events.
* Arrange publicity, ticketing, bookings, attendance lists, catering, cleaning, security, and volunteer rotras.
* Ensure appropriate insurance paperwork (e.g. US Events forms) is completed.
* Keep detailed records of events including budgets, attendance, catering, and security.
* Support volunteers assisting with services and events.
* Arrange logistical requirements for weddings (e.g. chupah setup and florist access).
Facilities Hall Hire and Diary Management
* Manage and maintain online booking systems for hall hire and synagogue facilities.
* Liaise with members and external organisations regarding hire availability, costs, and requirements.
* Process all paperwork for external hall hire and bookings.
* Coordinate with caretakers, cleaners, caterers, and security to ensure events run smoothly.
* Ensure Kashrut standards are adhered to in conjunction with the Rabbi.
* Monitor building use, cleanliness, and general maintenance needs.
* Liaise with United Synagogue Properties and report building issues where required.
* Arrange bookings and enquiries for outside organisations.
* Assist the Properties Department with dealing with building contracts/utilities for both the synagogue and Rabbi’s residence.
* Assist the Health & Safety Officer to ensure all aspects of Health & Safety are adhered to inline with United Synagogue Policy and Procedures.
Health & Safety
* Support and assist the Health & Safety Officer in ensuring compliance with United Synagogue policies.
* Be familiar with health and safety procedures relevant to synagogue operations and events.
* Assist with incident reporting and record keeping.
* Liaise with the United Synagogue HR team regarding staffing and payroll matters.
* Support recruitment administration alongside US HR.
* Ensure DBS processes are completed for staff and volunteers in a timely manner.
* Assist with timesheet administration for caretakers, youth workers, and cheder staff.
* Provide administrative support to the Cheder Head to ensure smooth running of Cheder.
* Support Honorary Officers with Cheder data and reporting.
Working Relationship
* The Community Administrator will work in close partnership with the other Community Administrator, sharing responsibilities, providing mutual cover, and always ensuring continuity of service.
Generic Duties
