What we are recruiting for:

We are currently recruiting for an Office Manager to join our Public Sector and Regions Construction business in our Birmingham office as part of a major programme of works across the UK. Bovis have been awarded five projects all based in the West Midlands region, with sites located in Bicester, Gloucester, Stafford, Leicestershire and Cirencester. This role is required to manage the central team office spaces and will involve travelling between these locations.

As Office Manager, you will be responsible for managing the main team office, providing support to the Core Team and portfolio wide team and supporting the project team Office Managers, to work to our standards.

Roles & responsibilities:

1. Provide admin and governance support to the PLT
2. Managing the Team Sharepoint site
3. Compiling and issuing weekly team communications
4. Supporting central functions in delivery of key tasks, including document control, security vetting, reporting etc
5. Teams Calendar Management
6. Managing team training calendar, organising training days, events and bookings.
7. Provide front of house service to all external and internal visitors
8. Taking telephone calls to proactively re-direct people to others who can or may be able to assist
9. Assist in organising monthly team meetings, conference calls, meetings, team events etc
10. Booking and coordination of meeting rooms and organising of refreshments and lunches as required
11. Ordering of office supplies – stationery, paper and kitchen supplies and PPE
12. Developing team reporting and governance processes and standard documents
13. Filing (including electronic) and post management system
14. Audit leadership, completion and support
15. Work collaboratively with other Office Managers within UK Regions
16. Keeping project registers up to date.
17. Organising training sessions for the Bovis team, Client team and Contractors
18. Playing an active part in driving positive team culture, collaboration and ensuring this division is a place people want to work.
19. Supporting the sustainability and social value team in delivering requirements for our programme of works.
20. Support compiling documentation for presentations, workshops and alike

Experience and Background:

Essential

21. Ability to communicate effectively with all levels of personnel both internal and external
22. Excellent planning and organisation skill
23. Ability to multi task, work to deadlines, prioritise tasks and work to optimum efficiency
24. Professional and mature approach when dealing with internal contacts and external clients
25. Maintaining confidentiality at all times
26. Excellent computer skills – intermediate ability on Microsoft suite
27. Strong networking and interpersonal skills
28. Strong analytical skills, initiative and ability to think strategically and creatively
29. The ability to be both a self-starter and to work as part of a team
30. Proven reliability, attention to detail, high level of accuracy
31. Enjoys a busy and demanding environment, but remain calm under pressure
32. Self-motivating with a ‘can-do’ attitude and demonstrable drive to get results
33. Strong problem-solving skills and can use own initiative
34. Open, honest and willing to take responsibility for outcomes

Desirable

35. Knowledge of UK Construction business
36. Experience in a similar Role
