Working closely with the Restaurant and Reception teams. This role will encompass administration & reservation duties at both Gymkhana and 42. The successful candidate will have previous reservations/reception experience in a quality restaurant.
Duties Include:
Reservations
* Respond to enquires for two venues (e-mail, telephone, priority line) between 5pm & 9pm and Saturdays 10am-6pm.
* Responding to enquiries of note, booking in reservations where possible and feeding event enquiries to relevant team members.
* Ensure all reactive enquiries, group and other inbound reservations queries are handled in accordance with agreed standards.
* Handle daily reservation enquiries ensuring customers are dealt with promptly and professionally.
* Effectively record and communicate customer dietary requirements with the restaurant teams.
* Handle customer complaints relevant to reservation enquiries.
* Assist events team with private dining and group booking enquiries.
* Create, develop and maintain strong engaging relationships with guests.
* Ensure all restaurant menus remain formatted and up to date on all websites.
* Build and maintain a collaborative environment with the restaurant sites and head office.
* Work closely with Marketing, Events and Sales to develop comprehensive systems, tactics, resources and requirements to improve customer journey.
Restaurant Administration
* Manage annual leave of the Restaurant Management team. Ensuring annual leave and sick leave are recorded correctly on our labour management systems.
* Support with preparing for monthly management meetings.
* Manage Teams and ensure site channels are clear and consistent.
* Assist with new managers staff set-up requirements, (lap tops, email, system access)
* Monitor our payroll system for Birthdays, Anniversaries, and Probations, informing site leaders and Ops.
* Help with booking management dine-outs.
* Update our LMS - Thrive
* Update brand pages on Notion
* Monitor GFB and update Notion doc.
* Assisting with onboarding for new starters
* Checking weekly revenue figures are accurate
* Summary of additional shifts to our Director of Ops
* Check Collset is balanced by midday
* Check Events Revenue Totals are accurate
* Check Collset cover figures match
* Keep Track of adjustment of hours & inform our Head of Payroll
Health & Safety
* Keep H&S policy up to date with any changes from FHS
* Risk Assessment Reviews
* H&S Team Meetings
* Maintain Staff H&S Files (Audits)
* Assist with EHO/FHS inspections when possible
* Keep Pest Inspection reports up to date and communicate action plans
* Keep notice boards up to date with H&S info.
