Job Title: Distilleries Technical Coordinator

Location: Airdrie, Scotland

The Opportunity

We are looking for a proactive Technical Coordinator to play a key role in supporting our distillery operations and technical projects. This is more than an administrative role, you’ll be involved in coordinating maintenance and investment activities, managing documentation for CapEx projects, and ensuring smooth execution of technical initiatives across multiple sites.

You’ll help centralise processes, streamline systems, and provide critical support for asset management and project delivery. What You’ll Do

Operational Coordination & Compliance

* Process and validate key information from all distilleries to support production, warehousing, and spirit dispatch across multiple sites.
* Produce accurate documentation to meet HMRC, SEPA, HSE, and other regulatory requirements.
* Act as document controller for the Integrated Management System, ensuring all distillery practices remain current and compliant.

Planning & Stakeholder Collaboration

* Partner with Distillery Managers to plan and document all aspects of distillery operations, maintaining accurate weekly production records.
* Develop and maintain strong relationships with internal teams and external stakeholders to support delivery against agreed production plans.
* Provide administrative and coordination support to the Distilleries General Manager, site managers, and working groups to ensure consistency and efficiency of messaging and documentation.

Maintenance & Asset Management

* Develop and maintain the Maintenance Management System (MMS), creating planned and preventative maintenance schedules for the installed asset base.
* Support the Maintenance Manager with MMS administration, planning, and reporting.

Project Support & Delivery

* Develop and maintain project documentation to schedule and report on the concept, design, delivery, and handover of capital projects.
* Provide administrative and coordination support to the Engineering Projects Manager, ensuring timely and accurate reporting on CapEx investments.
* Assist with procurement, scheduling, receipting, and invoice closure for all distillery activities.

Continuous Improvement & Integration

* Contribute to centralising and streamlining administrative processes to improve accuracy, efficiency, and compliance across all sites.
* Support initiatives to reduce, integrate, and simplify the number of systems in place.

What You’ll Bring

* Proven experience as a technical administrator or within a distilling environment, with a strong understanding of operational processes.
* Familiarity with Maintenance Management Systems (MMS) and involvement in project coordination or support activities is highly advantageous.
* Strong IT proficiency, including Excel, Word, PowerPoint, SharePoint, and SAP.
* Excellent interpersonal, communication, and presentation skills, with the ability to collaborate effectively across multiple sites and teams.
* Ability to manage documentation and compliance requirements for regulatory bodies such as HMRC, SEPA, and HSE.
* Highly organised with strong attention to detail and the ability to prioritise tasks in a fast-paced environment.
* Comfortable working autonomously while contributing to team objectives and continuous improvement initiatives.
* Minimum HNC/D in Business or a Technical subject.
* Formal industry qualification (e.g., GCD) is desirable.
