Role: Operations & NPD Office Assistant

Location: Head Office (London-based)

Type: Full-time / Permanent / On-site

Location: Up to £35k (Negotiable DOE)

Are you an organised, proactive Operations & NPD Office Assistant looking to join a growing, premium business within the beauty and personal care space? This is an exciting opportunity to become part of a close-knit Head Office team, supporting day-to-day operations while also assisting with new product development (NPD) processes that help bring innovative products to market.


You’ll work across NPD support, operations and office administration, gaining broad exposure to multiple functions in a collaborative, fast-paced environment.


The Role

Reporting into the Operations function and working closely with the wider Head Office team, you’ll provide hands-on operational and administrative support across the business, with a particular focus on supporting NPD coordination (product regulatory & compliance). You’ll help ensure operational processes run efficiently, product and supply chain data is managed accurately, and internal teams are well supported.


This role offers a varied workload, combining purchase order management, stock and product administration, NPD documentation and coordination, sales support, and general office administration. You’ll also support compliance processes and assist with maintaining accurate product and operational records across internal systems.


Responsibilities

Operational & NPD Support

* Support day-to-day operational activity, including processing purchase orders, tracking deliveries, verifying costs, and ensuring acknowledgements are received.
* Assist with regulatory administration, including managing international product notification portals and compliance documentation.
* Monitor order timelines to help prevent stock shortages and delays.
* Maintain product data and Bills of Materials within internal systems, ensuring accuracy and consistency.
* Prepare regular stock and operational reports, highlighting key insights and actions.
* Support cost management initiatives by maintaining costing templates, quote trackers, and auditing supplier pricing.
* Track and report product wastage, identifying opportunities to improve efficiency and reduce loss.


Sales & Commercial Support

* Maintain product listings and supporting materials across relevant sales platforms.
* Prepare and organise documentation for new product launches and registrations, ensuring information is accessible to the Sales team.


Head Office & Administrative Support

* Carry out regular stock checks and audits to ensure inventory accuracy.
* Manage stationery orders and general office supplies.
* Oversee incoming communications, including emails and post.
* Welcome visitors and support general front-of-house duties.
* Assist with onboarding new starters, including setting up systems, software, and office access.


About You

You’ll be highly organised, detail-focused, and comfortable juggling multiple priorities in a fast-paced environment.


You’ll bring:

* Experience with international product notification portals and documentation.
* Strong administrative and organisational skills with excellent attention to detail.
* Experience processing purchase orders, managing stock data, or supporting operational functions.
* Confidence working with product information systems and spreadsheets.
* The ability to prepare clear, accurate documentation for internal teams.
* Strong communication skills, both written and verbal.
* A proactive mindset with an eye for improving processes and identifying efficiencies.
* Experience supporting office systems or onboarding new employees is beneficial.
* Passion for Operations & NPD within beauty, personal care & cosmetics.
