Job Title: Community Mental Health Team Administrator
To provide an efficient and effective administrative service within the Community Mental Health Team, carrying out all relevant administrative tasks. This includes answering telephone calls from patients, relatives, and clinical staff to support an effective mental health service, alongside various administrative duties as directed by your Line Manager.
Key Responsibilities:
1. Provide administrative support to the clinical team regarding care plans and clinical correspondence.
2. Handle all incoming and outgoing mail, processing, distributing, and responding within set limits.
3. Ensure sufficient stocks of stationery are available to meet team needs without excessive stockpiling.
4. Coordinate and facilitate the dissemination of information within the team.
5. Deal efficiently, precisely, and courteously with telephone callers.
6. Produce minutes from daily zoning meetings, MDT, or other team meetings as required.
7. Supervise reception staff and apprentices, including line management supervision.
8. Maintain appropriate filing systems to meet service needs.
9. Maintain client records for data input onto health and social services computer systems.
10. Record referrals and discharges for statistical purposes and enter data onto the Paris system accurately and promptly.
11. Scan relevant documentation to update patient records.
12. Record messages accurately in the daily diary for team members.
13. Type correspondence and reports, amending format and grammar as necessary within the Paris system.
14. Develop an understanding of the Paris patient record system and ensure data quality.
