Job title: Project Coordinator

The Role
As the Project Coordinator, you will support the Projects team on all aspects of project delivery, including project control, procurement, commissioning/Testing and handover, ensuring excellent customer service and project compliance is achieved.
Duties And Responsibilities
* Scheduling jobs with customers, ensuring that the client is notified of the attendance by telephone and email
* Communicating with clients
* Daily communication with Engineers and Project Managers to ensure works are completed in an efficient and timely manner
* Proactively scheduling Engineers to ensure resource is used effectively i.e.: using locations, skills matrix and customer request
* Ordering materials and accessing equipment for works using simPRO, following internal process
* Assisting with project works
* Booking training for engineers in line with the training matrix and as directed by Line Managers by liaising with external providers and internal colleagues
* Ensuring all relevant job paperwork is completed correctly to be sent out to customers and processed for invoicing
* Raising work orders and purchase orders, using simPRO and associated paperwork, as requested by Line Managers
* Requesting permits as required for sites works, by following each customer's permitting system
* Processing Engineers' times sheets and completing overtime claims form for management to approve
* Completing vetting requests as required for specific sites
* Where applicable, participating in client reviews and meetings
* Accurately and efficiently receiving and logging customer enquiries using simPRO
* Responding to customer queries and enquiries, ensuring they are dealt with in a timely manner and in line with customer SLA's and escalating to the relevant person when required
* Communicating with internal colleagues to enable shared resource where required
* Any other duties as outlined by line manager/project manager and Operations Manager

Person Specification
Essential
* Excellent interpersonal and communication skills, both written and verbal
* Excellent organisational and prioritisation skills, with the ability to multi-task and problem solve
* Works well under pressure
* Excellent attention to detail
* Good knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) and confident using IT software
* Willingness to learn new systems and technologies in a fast past environment
Desirable
* Previous experience in a coordination role
* Previous experience of working within the fire, security and or data infrastructure industries
* Previous experience using a field management system

Working Conditions
This role is based in our open plan office in Gloucester. Due to the nature of this position, it can be expected that there will be extended periods of time spend using Display Screen Equipment. On occasion, there may be the need to travel to our other offices or clients' sites.
