Job Description
You will:
3. Provide high‑level Executive Assistant support to senior leaders, including complex diary management, meeting coordination, inbox management, and travel arrangements
4. Act as a trusted gatekeeper, handling confidential information with discretion and professionalism
5. Oversee the day‑to‑day running of the London office, ensuring smooth operations and a professional working environment
6. Manage relationships with external suppliers and service providers, including facilities, IT, and office vendors
7. Coordinate internal meetings, prepare agendas and materials, and support follow‑up actions
8. Support communication with German‑speaking stakeholders, including colleagues in Germany and wider European teams
9. Assist with onboarding/offboarding, office processes, and internal administration
10. Handle expenses, invoices, contract administration, and general office reporting
11. Support events, visitor management, and ad‑hoc projects as required
The Successful Applicant
A successful EA and Office Manager should have:
12. Proven experience in executive support and office management roles.
13. Strong organisational and multitasking abilities.
14. Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
15. Excellent written and verbal communication skills.
16. Confidence in liaising with stakeholders at all levels.
The successful applicant will have:
17. Proven experience in an Office Manager and/or Executive Assistant role, supporting senior stakeholders
18. Fluent German and English, with confidence communicating with stakeholders across regions
19. Strong organisational skills, with the ability to manage multiple priorities in a fast‑paced environment
20. Excellent attention to detail and a high level of discretion when handling confidential matters
21. A proactive, adaptable approach with a willingness to take ownership and support the wider business
22. Strong IT skills and confidence using office systems and technology
23. Experience working in a professional services or financial services environment (preferred)
