We have an exciting opportunity for a Facilities Administrator to join our team in Abingdon.

To provide comprehensive administrative support to the Head of Facilities and the wider business, ensuring the smooth and efficient running of day-to-day facilities and fleet operations. The postholder will play a critical role in coordinating multiple workstreams, streamlining processes, and driving continuous improvement through proactive problem-solving and innovative thinking. The Facilities Administrator will be a proactive and highly organised professional, capable of handling multiple priorities with agility, professionalism, and strong attention to detail.

Key Responsibilities:

* Manage a broad range of administrative functions within facilities and fleet management, ensuring timely delivery of services and high standards of documentation and compliance.
* Coordinate and maintain the central database for all mandatory checks across multiple sites, ensuring accuracy and real-time updates.
* Take ownership of communications and scheduling with approved contractors, ensuring seamless service delivery and adherence to compliance timelines.
* Provide administrative and operational support on facilities-related projects, contributing ideas and helping to drive improvements in process and efficiency.
* Support the reactive and proactive organisation of site maintenance, liaising with stakeholders and contractors to minimise disruption and maintain high standards.
* Act as a central point of contact for internal and external stakeholders, resolving queries promptly and professionally.
* Identify opportunities to improve systems and workflows, applying innovative thinking to problem-solving and operational challenges.


Skills and Experience:

* Proven ability to manage multiple tasks simultaneously while maintaining accuracy and quality under pressure.
* Strong administrative capabilities, with exceptional organisational and time-management skills.
* Strong IT skills, particularly in Microsoft Office (Word, Outlook, Excel), and confidence using digital tools for scheduling and data management.
* Proactive problem-solving and analytical thinking, with a focus on identifying and implementing innovative process improvements.
* Excellent interpersonal and communication skills—both written and verbal—with a high degree of professionalism.


Qualifications:

* GCSEs in English and maths.
* Full driving licence preferred.
