Senior PA to Manager & Clinical Director for Specialist Division
To ensure the maximum effectiveness of the Specialist Division Directors by providing efficient, effective and professional secretarial and administration support and being first point of contact for queries. Undertaking a wide range of administrative tasks as directed and using trust systems, maintaining excellent customer service and standards of work, to uphold and enhance the reputations of the Specialist Division.
Main duties of the job
Representing and making decisions on behalf of the directorate at the appropriate level as delegated by the Directors.
Working directly to the Business Manager the postholder will ensure a highly efficient and effective administrative support service that is responsive to the needs of the Directors and as directed to their leadership teams.
A key part of the role will be to manage the smooth running of the Directors diary demands to ensure the timely and effective delivery of projects and daily commitments, working closely with peer PAs.
The post holder will share with another PA the organisation & running of the monthly Divisional Governance & Quality Meeting.
To post holder will hold a line management responsibility for a part-time B4 administrator, ensuring supervision and appraisals are carried out in accordance with trust processes, offering support and advice where required. Ensure management of staff is consistent with Trust's HR Policies to the achievement of equality, equity and optimum performance. Completing an annual Appraisal for staff under your direct line management which reflect these priorities and ensure staff have access to appropriate training and development.

The post holder has a responsibility to develop, implement and maintain specific policies, protocols and related systems.
Developing and improving working practices, setting the appropriate standards and culture, and ensuring that work throughout the service is delivered on time and to the highest standards. This will include the maintenance of effective data collection systems and ensuring such systems work effectively.
Develop working relationships with key people within the Trust to help support and develop the business within the Division and to play an active part in developing a culture of performance management.
The post holder will work to defined policies but is required to work on own initiative, utilising broad guidance as required. The Senior Personal Assistant will be the admin specialist for the Directors.
