This full-time role offers an exciting opportunity to support the daily operations of our office while ensuring smooth administrative processes across various departments. The successful candidate will play a pivotal role in maintaining the office's efficiency, providing administrative support to the management team, and enhancing the overall workplace experience. Key Responsibilities: Office Operations: Manage and maintain daily office activities, ensuring that all office functions run smoothly and efficiently. This includes overseeing the office environment, keeping workspaces organized, and ensuring the cleanliness and functionality of office equipment. Reception & Communication: Greet visitors, clients, and employees with professionalism and warmth. Answer phone calls, respond to emails, and direct inquiries to the appropriate team members in a timely and efficient manner. Supply Management: Monitor office supplies and inventory levels. Order supplies as necessary, ensuring the office is always well-stocked with essential materials. Scheduling & Coordination: Organize and maintain schedules for the office, including managing appointments, meetings, and travel arrangements. Help with organizing company events, meetings, and team-building activities. Document Management: Create, maintain, and update filing systems to ensure that important company documents are organized, easily accessible, and properly archived. HR Support: Assist with human resources tasks such as employee onboarding, maintaining personnel files, coordinating training sessions, and supporting team members with administrative HR needs. Finance & Accounting Support: Help with invoicing, processing expenses, tracking budgets, and assisting in financial reporting tasks. Ensure all financial documentation is stored properly and in a timely manner. General Administrative Support: Assist senior management with a variety of administrative tasks and projects as needed. Perform ad-hoc tasks to ensure the smooth operation of the office. Qualifications & Skills: Education: High school diploma required; Associate's degree or further education in office administration, business, or related field preferred. Experience: Minimum of 2-3 years experience in an office administration or similar administrative role. Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with office management software. Ability to learn new tools quickly. Communication: Strong verbal and written communication skills. Ability to interact professionally with staff, clients, and visitors. Organizational Skills: Excellent organizational skills with the ability to multitask and prioritize daily activities. Strong attention to detail and accuracy. Interpersonal Skills: Friendly and approachable with a positive attitude. Ability to work independently and as part of a team. Problem Solving: Strong ability to identify issues and find effective solutions independently, ensuring minimal disruption to office operations. Salary & Benefits: Salary: £30,000 per annum (based on 40 hours per week) Working Hours: 40 hours per week, Monday to Friday (9:00 AM 5:00 PM) Pension Scheme: Company pension contribution to help you save for your future.
