You will support the service’s administration needs, including new starter paperwork, organising training and managing leave requests. You will liaise with new staff members as you manage and verify their compliance documents, including DBS checks, identification, references, and Right‑To‑Work. As an administrator, being organised and keeping the general office function running smoothly will be second nature; files will be in the right place and kept confidential, post will be cascaded, phones will be answered in a friendly and helpful way, and spreadsheets will be up to date and logical. Working alongside senior staff members, you will manage staff absences and leave requests, maintain personnel files, and produce audits.

Being organised and ensuring the office runs smoothly will be second nature; you’ll maintain files, answer phones, and keep spreadsheets updated. Collaborating with senior staff, you’ll handle staff absences, leave requests, and audits. Responsibilities
* Timesheet data entry. This is to be completed daily, onto the company database to ensure staff is paid for overtime shifts, bank shifts, and agency shifts. There are daily deadlines that are to be met. Checking staff absences throughout the day and arranging for cover, using the company app or liaising with external recruitment agencies to book staff to cover shift vacancies.
* Taking staff off rota whilst ensuring appropriate cover is in place and that staff is not working above set weekly hours/shifts, to allow them to attend mandatory training. You will work collaboratively with the Site Learning Administrator.
* Handling shift swaps for ward staff, ensuring that company policy and the procedure is followed.
* Covering the reception area between 12pm to 12.30pm and 4.30pm to 5pm. This involves answering the switchboard systems and answering the door.
Qualifications
* Previous experience within a similar role and/or environment.
* Knowledge of healthcare terminology.
* Experience of working with staff Rotas.
* Previous experience of typing up medical reports and patient discharge letters.
* GCSE English, C or above.
