We are delighted to be working with our client in Fraserburgh who has a fantastic new opportunity for a Clerical Assistant to join their team on a full-time permanent basis. Hours of Work: Monday -Thursday 0800 – 1700, Friday 0800 - 1600 Duties & Responsibilities: Obtain quotes for materials and planned work and issue purchase orders to the suppliers Handling emails, letters, and other forms of communication, ensuring timely responses and proper filling of documents both in the Shared drives and manual filing Assisting with the creation of reports, presentations, and other documents Ensuring the smooth functioning of the office, and general tidiness. Distributing information and updates to relevant parties within the company and potentially to external agencies or contractors. Develop a manual filing system with a view to scanning documents into a controlled filing system on SharePoint. Assist with the organisation of meetings and collate information required for meetings and attend meetings and take notes Management of booking forms Recording maintenance for property, plant, vehicles and equipment Recording and managing defects in the department Management of Information from Checklists and Reporting Systems Essentials Skills & Experience: HNC or equivalent in Business Studies Three to five years’ proven experience in an office Strong organisational and time management skills Excellent communication and interpersonal skills Ability to work independently and as part of a team Attention to detail and accuracy Experience in Microsoft Applications – Excel, Word and SharePoint Ideally have experience working within a quality framework Ability to work to tight deadlines on complex issues and remain calm under pressure Demonstrate a willingness to be flexible, versatile and/or tolerant in a changing work environment while maintaining effectiveness and efficiency Ability to assess situations to determine the importance, urgency and risks Willingness to learn and participate/provide in-house training Work in accordance with the organisation’s values, goals and objectives Maintain integrity by being honest and transparent with staff, clients and suppliers Actively collaborate in regular team events as well as with external relationships as required Clean driving license and the ability to travel throughout Scotland and beyond if necessary If you have the desired skills and knowledge, we would love to hear from you.
