Office Manager position at Lytle Associates Architects
We are looking for an Office Admin and Marketing Manager to join our friendly Architects Practice in the centre of Guildford.
We employ around 20 staff, including architects, technicians, architectural students and support staff. We are an Employee-Owned Trust (EOT) run by our three directors who work alongside a board of trustees.
Requirements
Our preferred candidate has experience working in office administration/management and should be a confident and strong communicator, with excellent organisational skills. They must be proactive, flexible and a good 'all-rounder' who feels comfortable using their initiative. They will work directly alongside our directors to ensure the smooth running of the office.
The job is varied and will involve a range of duties that will include:
1. The day-to-day running of the office, from answering the phone and greeting clients to managing email & mail correspondence and assessing & ordering office supplies.
2. Organising and booking events, including a quarterly networking event; continuing professional development presentations (CPDs); networking, office outings and staff social events.
3. Support with our marketing strategy and delivery, covering digital and social media, website, brochures and in-person events. Arrange and record regular marketing meetings, manage the marketing schedule and collate information for social media posts.
4. Digital media management – photos, videos, marketing brochures and other visual content to help promote our practice. Developing and enhancing standard templates for documents.
5. Business support including helping with fee proposals, preparing bids and PQQs. Monitoring new job enquiries and ensuring these are responded to.
6. Various office administration tasks including HR, H&S and project admin support.
They will need
· Experience in office administration required.
· Experience in marketing and social media platforms preferred
· Enthusiasm and initiative to develop our company brand
· Excellent client care service skills
· Strong communication skills and a confident, friendly and outgoing manner both over the phone and in-person
· A sound working knowledge of office IT software, including MS Word and Excel
· Robust organisational skills and the ability to use their initiative
Job Type:
Flexible, mainly office-based, around 25 – 30 hours per week over at least 4 days. Ideally including core hours from 10.00am to 4.00pm (but specific days and hours can be agreed).
Salary
Competitive salary dependent on experience.
