The Role
As part of the Event Operations structure, the Event Coordinator position is focused on administration, accuracy, client communication, and operational support across all events.
The Event Coordinator is responsible for ensuring the foundational elements of event delivery are completed accurately and professionally. Acting as a key support function within the Events Department, the role works closely with Junior Event Managers, Event Managers, and senior operational staff to ensure a smooth client journey and efficient internal workflow.

Please note, a full clean UK driving licence is required for this role and your duties will involve occasional UK and international travel, including some weekends and overnight stays.
Key Responsibilities:
Client Communication
* Acting as a first point of contact for standard client queries and addressing them in a professional manner.
* Managing shared Event Operations inboxes across Sports/Cultural events.
* Ensuring all communication and client communication is accurate, professional, and aligned with company standards.
Ticket Dispatch & Event Documentation
* Preparing ticket packs professionally and accurately in line with company procedures.
* Checking client names, ticket quantities, event dates, and dispatch formats.
* Preparing event documentation including itineraries, parking passes, and event inserts.
* Ensuring all event documents follow company formatting and quality standards.
Administrative & Operational Support
* Supporting Event Managers and Junior Event Managers with event administration.
* Booking staff travel, accommodation, and logistical arrangements where required.
* Maintaining organised digital filing systems and accurate documentation.
* Assisting with operational spreadsheets and administrative processes.
Event Attendance & Onsite Support
* Attending events to support operational delivery and gain event experience.
* Assisting with client hosting and guest management onsite.
* Supporting onsite logistics and event administration.
* Supporting the wider event team during live event delivery.
Skills & Experience Required
* Minimum 1 year experience within a customer-facing role is required.
* Previous experience handling customer communication professionally via telephone and email.
* Ability to manage client expectations and maintain a high level of customer service at all times.
* You will be comfortable liaising with various stakeholders and comfortable working in a challenging but rewarding fast paced environment.
* Excellent organisational and administrative skills.
* Exceptional attention to detail and accuracy.
* Ability to manage multiple tasks in a fast-paced environment.
* IT proficiency.
Experience within the corporate hospitality, events, administration, or customer service sectors is desirable but not essential.
