The Opportunity

The Operations Assistant plays a vital role in ensuring the smooth and efficient day-to-day operations of our organisation. This position provides administrative and logistical support across various departments, contributing to overall productivity and client satisfaction.

Responsibilities will include:

General Operations:

* Ensure the client-facing areas of the office are ready to welcome visitors.
* Answer incoming calls and filter to colleagues as appropriate.
* Be the first point of contact for welcoming any clients/visitors and offer them refreshments.
* Prepare the boardroom and meeting room for set up when required for both internal and external meetings.
* Coordinate logistics for incoming and outgoing shipments, deliveries, and mail.
* Order and manage office supplies and refreshments.
* Assist with organising team events, anniversaries, and birthdays.
* Ensure that both kitchens are kept tidy.
* Ad hoc office projects.
* Assist the Client Servicing Team with the preparation, scanning, and filing of client paperwork.
* Assist the Client Servicing Team with maintaining accurate client records on our CRM system.
* Support the team with other administrative tasks as required.

Full-time and permanent.
* Location:
Our HQ overlooks the beautiful Holes Bay in Poole, Dorset, with the ability to have a hybrid working pattern.
* Work Hours:
Our standard working hours are 8:30-17:00 with an hour of ‘you time’ for lunch. However, our team works a variety of different hours that work for both of us.

About You

Experience:

* No prior professional experience required, but a strong willingness to learn and develop skills in an operational environment is essential.
* Desirable (but not essential): Some exposure to administrative tasks, customer service, or data entry through internships, volunteer work, or part-time roles.
* Builds rapport and trust with customers, representing the company in a professional and friendly light.
* Problem-solving skills and a positive, can-do attitude.
* Flexible working approach to get the job done.
