We are seeking a highly organised, proactive, and professional Personal Assistant to support senior leadership within a dynamic and fast-paced environment. Hybrid working: 3 days in the office, 2 days from home (post-probation)
The Role
As a Personal Assistant, you will provide comprehensive administrative and organisational support to senior leadership. You will be instrumental in ensuring effective time management, seamless communication, and the smooth coordination of business activities.
You will regularly liaise with internal teams, senior stakeholders, and global clients, requiring a high level of professionalism, discretion, and relationship management skills.
Key Responsibilities
Personal Organisation & Executive Support
* Proactively manage diaries, prioritising commitments and acting as a gatekeeper
* Coordinate meetings, including logistics, materials, and hospitality
* Prepare agendas, briefing packs, and meeting documentation
* Attend meetings, take minutes, and track follow-up actions
* Manage inboxes, prioritising and responding where appropriate
* Handle calls, screen enquiries, and manage communications effectively
* Arrange complex travel, accommodation, and detailed itineraries
* Provide ad hoc and personal support as required
Client & Stakeholder Management
* Build and maintain strong relationships with clients and internal stakeholders
* Coordinate client meetings and events to a high standard
* Maintain awareness of client preferences and requirements
* Update and manage CRM systems and share relevant insights
Matter & Financial Support
* Assist with matter opening, client onboarding, and system setup
* Support WIP reporting, billing processes, and invoice management
* Liaise with billing teams and monitor outstanding payments
* Maintain accurate records and filing systems
Communication & Document Support
* Draft, edit, and format documents, presentations, and reports
* Produce high-quality materials for internal and external use
* Support communication distribution and campaigns
* Ensure consistent, professional document presentation
Business Support & Projects
* Assist with business plan delivery and project tracking
* Support data analysis, reporting, and process improvements
* Contribute to pitch preparation and coordination
* Maintain templates, documentation, and CV repositories
* Identify opportunities to improve efficiency and quality
Skills & Experience
* Proven experience supporting senior management in a PA role
* Background within a professional services environment preferred
* Advanced Microsoft Word and PowerPoint skills
* Intermediate Excel skills with willingness to develop further
* Strong IT literacy, including document management systems
* Excellent organisational, communication, and multitasking abilities
* High attention to detail with strong analytical thinking
* Ability to work collaboratively and manage competing priorities
