Accountable to: GP Principal

Hours: 37.5 hours per week

Salary: Dependent on experience

Start date: 1 September 2026

Location: Ivy Medical Group, across practice sites as required


Job purpose

The Practice Manager is responsible for managing and coordinating the operational, business and administrative functions of the practice. The postholder will support the GP Principal and wider team to deliver safe, effective, well‑governed and financially sustainable services for patients. The role requires strong leadership, sound judgement, excellent communication and the ability to manage people, systems and competing priorities in a busy primary care environment. The Practice Manager will help maintain a positive working culture, support continuous improvement, ensure compliance with relevant requirements and contribute to the long‑term strategic development of the organisation.


Key responsibilities

* Operational management: Oversee the day‑to‑day running of the practice; ensure services are organised, responsive and delivered to a high standard. Ensure staff understand and fulfil their responsibilities, escalating issues appropriately to the GP Principal. Coordinate practice meetings, communication processes and operational planning. Support effective patient access, including digital‑first and total triage processes. Identify opportunities to improve efficiency, patient experience and service delivery.
* Staff leadership and HR: Provide functional management and support to clinical and administrative staff as appropriate. Line‑manage designated staff groups, including administrative, reception, nursing, healthcare assistant, advanced clinical practitioner, assistant practice manager and salaried GP roles, depending on local arrangements. Manage recruitment, induction, retention, succession planning and workforce development processes. Maintain and review job descriptions and person specifications. Support appraisal, training, staff development, performance management, disciplinary and grievance processes. Promote a positive, inclusive and professional working environment. Ensure staff have appropriate training and support to carry out their roles effectively.
* Finance and business management: Support the GP Principal with practice finances, budgets, bank accounts, accounting systems, cash‑flow monitoring and financial controls. Work with relevant advisers and suppliers to ensure timely and accurate business administration. Support payroll‑related processes and maintain appropriate records. Identify opportunities to improve efficiency, income protection and financial resilience.
* Governance, compliance and quality: Maintain an effective overview of practice policies, procedures and compliance requirements. Support CQC readiness and ensure action plans are progressed where required. Support achievement of QOF and other contractual requirements with the clinical and administrative teams. Ensure appropriate systems are in place for health and safety, risk assessments, mandatory training, information governance, confidentiality and business continuity. Support significant event analysis, audit and quality improvement activity where required. Ensure complaints are managed in line with current legislation, guidance and practice policy.
* Premises, IT and systems: Oversee premises management, facilities issues and health and safety arrangements. Coordinate repairs, maintenance, supplier relationships and practice development work as required. Manage practice IT arrangements, delegating system administration tasks where appropriate. Ensure appropriate information governance, IT security and data protection processes are followed. Support effective use of clinical and administrative systems.
* Patients, stakeholders and external relationships: Support patient engagement, including the Patient Participation Group where appropriate. Maintain effective communication with patients, staff, partners and external organisations. Act as a key point of contact for NHS England, the ICB, PCN, community services, suppliers and other stakeholders as required. Work with PCN colleagues, including the PCN Manager and ARRS staff, to support aligned service delivery.
* Strategic development and change: Contribute to the practice development plan and long‑term strategic objectives. Lead or support projects, service redesign and continuous improvement initiatives. Support premises development or other organisational development work where required. Help the practice respond to changing NHS, contractual, workforce and patient demand pressures.
* General: Maintain confidentiality at all times. Work flexibly and professionally to meet the needs of the practice. Hold and maintain a full UK driving licence, as travel between practice sites and local meetings may be required. Deputise for the GP Principal or represent the practice at internal and external meetings where appropriate. Carry out other reasonable duties in keeping with the role and grade.
