An exciting opportunity has arisen for a well-organised and resilient individual to join the Passenger Transport Services (PTS) team as an Admin Officer. The role focuses on providing efficient, effective, and comprehensive administration and financial support to ensure the legal and compliant delivery of the service. It is a key part of managing expenditure on multi-million pound budgets within the Environment & Transport Department.
About the Role
1. Process orders, payments, and invoices related to home to school transport, social care, and other Highways and Transport functions.
2. Identify and investigate anomalies by interrogating databases and requesting further information from schools, online databases, suppliers, and other teams.
3. Utilise database systems to accurately update records and extract data.
4. Communicate with suppliers, schools, the Finance Service Centre, and other teams by phone, letter, and email to obtain required information in the correct format.
5. Provide general advice and guidance to suppliers and service users regarding services provided by the Highways and Transport department.
6. Responsible for protecting and managing information securely, reporting breaches or suspected breaches in line with Council policies.
This role offers an opportunity to assist in developing and maintaining business processes and supporting the cost-effective use of Council resources.
About You
To apply, you must have:
1. A good standard of education including English and Mathematics at GCSE Grade A-C (or equivalent) OR demonstrable experience.
2. Administrative experience with tasks such as word processing, filing, photocopying, messaging, data input, and record maintenance, as well as experience with financial processes like invoicing and payments.
3. Proficiency in Microsoft Outlook, Excel, Access databases, Word, and other Microsoft applications, including database solutions.
4. Good verbal and written communication skills, excellent numeracy, and attention to detail, with the ability to handle calls and emails professionally.
5. Good organisational skills and the ability to prioritise workload.
6. Ability to work independently and as part of a team, building strong relationships.
