Willowbrook is a long-established provider of Domiciliary Care and Extra Care services, operating primarily in East Lancashire and Fylde & Wyre. Services are commissioned by Local Authorities and by private clients. This role is based at our Lytham branch, Jubilee House, East Beach, Lytham Saint Annes.
The key purpose of the role is to support Lytham Branch with the general day-to-day running of the office, working to deadlines and in line with the Company’s policies and procedures.

Duties & Responsibilities
* To report to the Care Coordinator/Registered Manager who is responsible for the day-to-day running of the branch.
* To answer the telephone and manage enquiries as required.
* To complete general admin tasks in line with company procedures to include but not limited to filing, photocopying, contacting staff, clients and professionals as required and to meet and greet visitors at reception.
* Supporting in conducting pre-employment checks as required.
* Organising meetings and taking notes of meetings as required.
* Have overall responsibility for the branch office calendar.
* To ensure sufficient stock of PPE and office stationery, in line with company policy.
* To support the distribution of or collection of resources as required, e.g. PPE.
* To complete reports as required and as per Willowbrook’s procedures.
* To professionally deal with any questions or queries received from clients and staff.
* To assist the Care Coordinators and Registered Manager as necessary to support the smooth running of the branch.
* To work calmly and professionally at all times.
* Any other reasonable duties as required of the role.
Job Specification:
Working knowledge of Excel, with the ability to complete an Excel spreadsheet. √
Competent in using Microsoft Office applications, including Excel, Word, and Outlook √
Experience of working with digital systems √
Experience of working with Local Authorities and/or Councils in a domiciliary care service √
Excellent organisational skills √
Excellent interpersonal and communication skills √
Good written and verbal communication skills, including good telephone manner √
Ability to cope with and work well under pressure √
Ability to work as part of a team or independently, with the ability to use own initiative √
Hold a full driving licence with access to a vehicle √
