Hours: 0400-1300 Monday to Friday

Position Overview:

Acting as the sole support person for the earlier part of the Office Management team’s day, this person will be responsible for ensuring the London Office is set up ready for the day ahead. Starting at the same time as our founding partners, this role will have high visibility and will be solely responsible for the smooth opening of the office before the rest of the Office Management team arrive for core hours. The early shift will be responsible for the following:

1. Ensuring the temperature in the office is comfortable and consistent across the floors. Liaising with out of hours engineers if problems have arisen overnight
2. Checking all windows and blinds to ensure office is fresh, bright and ready for the day
3. Performing stationery cupboard checks and ordering supplies where needed, also checking all printers are set up and ready to go
4. Ensuring all pantries, workspaces, carpets, meeting rooms and corridors are cleaned to our expected level by the night cleaners, reporting any issues to the Cleaning Company where additional cleaning is required
5. Performing a pantry check on all 6 floors to ensure food cupboards are stocked, crockery is available and clean, coffee machines are working and water taps are functioning
6. Checking all meeting rooms for stock levels of the necessary stationery and perform a basic check on IT equipment
7. Receiving and oversee any early morning deliveries of bakery items and pantry services
8. Reviewing external and internal visitors for the day and ensure all desks or meeting rooms are set up appropriately
9. Delegating work on the Jira Helpdesk to colleagues around the globe, and taking any London tasks that can be done during the shift
10. Preparing handovers for the London Office Manager on various tasks and any issues that have arisen

Required Qualifications:

This role requires a person who is happy to work autonomously, confident of their own abilities, able to remain friendly and approachable when communicating with multiple personalities and under pressure.

11. Bachelor’s degree level education or equivalent
12. 3 years’ experience in a similar role
13. Strong proficiency in Microsoft office, specifically Outlook and Excel
14. High level of confidence using software and internal platforms and ability to pick up new systems very quickly
15. Experience using an issue tracking system or ticketing software
16. Experience with Workday for expensing is a bonus
17. Previous roles in finance industry are a bonus
18. Use of floorplan management software in previous roles is a bonus
19. Able to work occasional weekends or events, as needed
