Due to company growth, we are now recruiting for a Service/Parts Advisor (Technical Processor) to join our processing team.
Key responsibilities of the Technical Processor -
Managing the company asset management system:
Responsibility will include:
* Asset details are regularly checked & updated regarding asset detail, record history, bookings and works in progress, service configuration and aligning service sites/dates.
* Ensuring work reports are processed efficiently.
* Ensuring any updates or amendments to service lists are communicated to the relevant technicians.
Managing Technicians:
Responsibility will include:
* Liaise with PE technicians to ensure all job sheets and certificates are complete and correct, including but not limited to technical information and job-specific data such as hours spent on site, travel time and parts.
* In the event a job sheet or certificate is not correct, it will be the responsibility of the technical processor to provide feedback on the non-conformances to the technician and their supervisor.
Managing subcontractors for work outside of company scope:
Responsibilities will include:
* Process subcontractor jobs inline with supplier contracts and agreed rates.
* Query completed works direct with subcontractors.
* Arranging swift cost processing and obtaining quotes for repairs where required.
* In the event you need support processing jobs due to their technical nature, raise these concerns with the senior technical processors, or supervisor.
Job sheet specific processes:
Responsibility will include:
* Ensuring all technicians hours and purchases are recorded and up to date on the relevant jobs.
* Check that all job sheets submitted by engineers are correct regarding assets worked on, location, hours worked, tasks completed, parts used, and parts required.
* Ensuring all data is transferred onto PAMS (asset management system) and other client systems; this will include all costs associated with labour, travel and parts are submitted.
* Keeping all work in progress records together and filed into technician work folders.
* Process jobs on PAMS and client portal - Coordinated feedback loop on receipt of incomplete, or non-compliant job cards & certificates to the technician and their supervisor.
* This will include 'pass-thru' jobs, & those requiring additional management.
* In the event you need support processing jobs due to their technical nature, raise these concerns with the senior technical processors, or supervisor.
Health & Safety (H&S) and Wellbeing
Responsibilities will include:
* Obey company H&S processes as per your employee handbook.
* Complete all required training courses relevant to your position.
* Manage training applicable to mobile technician team and ensuring that training expiry dates do not lapse.
* Manage technician team to ensure all PPE requirements are met, maintained and issued correctly through the admin team.
* Where possible, keep tabs on technician H&S whilst out on site.
* Ensure all jobs completed on the day are processed, or if they cannot be processed, they are flagged and acted upon before the close of the business day.
* Ensuring all technician's hours and purchases are recorded and up to date on the relevant jobs.
