J80is a day case unit, treating up to 80 patients a day. The successfulcandidate will be fully trained to use the Patient Administration Centre(PAS) and chemocare IT systems and will receive in house training from thebooking office team.
Youwill work alongside the small clerical team, arranging treatmentappointments, corresponding with clinicians and inputting data for theOncology and Haematology patients attending for anti-cancer treatments.

Main duties of the job
TheseSuccessful candidate will be given all the necessary training to workcompetently and efficiently with PAS and chemocare IT systems. They will workas part of a team, arranging and rescheduling appointments for patientsattending the day unit, liaising with patients, nurses, doctors and otherclinical staff. The department is open between 07.30 and 19.30 and theworking hours of this role would be within these opening hours.

Job responsibilities
JOBPURPOSE/SUMMARY
Toprovide co-ordination and support to the Chemotherapy booking team. Ensuringadministrative and clerical support is provided for the Chemotherapy service,within the Oncology Day Unit, via the chemotherapy booking system(Chemocare).
Thechemotherapy department delivers treatment care packages to approximately60-70 patients per day, 7 days a week. The post-holder will be responsiblefor the co-ordination of the chemotherapy booking team, ensuring that alladministrative and clerical aspects of the chemotherapy booking service arebeing delivered and are meeting the needs of the service.
Thepost holder will also support and book chemotherapy activity, contactpatients, input data onto the departmental database systems and producereports as required. The post holder will be able to work flexibly and beable to communicate effectively and sensitively to a wide range of peopleincluding patients, families, medical staff and the wider multi-disciplinaryteam.
PRINCIPALDUTIES & AREAS OF RESPONSIBILITY
Core duty is to co-ordinate with thechemotherapy booking team and discuss and share out the workload on a dailybasis, ensuring all aspects of the chemotherapy booking service are beingdelivered and meeting the needs of the service.
To:
- Manage your own workload
- Provide training and on-goingsupport as and when appropriate
- Give inductions and providetraining to new starters, demonstrating tasks carried out by yourself andother individuals in the team
Ensure policies are updatedappropriately to ensure the team are booking patient appointments accurately.
Be responsible for ensuring the teamhave adequate office equipment to fulfil their roles, and that the equipmentis used safely.
Support the team to provide a fullchemotherapy appointment booking system for the chemotherapy service.
Book patient appointments accordingto departmental policy.
Communicate appointments to patientsdirectly via telephone and letter.
Re-schedule appointments wherenecessary and ensure amendments communicated to relevant people and patient.
Deal with ad-hoc queries from staffand patients regarding patient appointments.
Provide routine non-clinical adviceto patients seeking help from clinical staff where appropriate.
Monitor capacity and demand of thechemotherapy unit and escalate concerns to line manager / senior management.
Book patients into the PeripherallyInserted Central Catheter (PICC) line service where necessary.
Ensure patients future appointmentsare booked prior to next attendance to allow for seamless patient pathway.
Manage email traffic to specificchemotherapy email account, taking action where required and prioritisingurgent requests.

Qualifications
* NVQ Level 3 or equivalent.
* Grade 4 or above in GCSE English and Maths or Level 2 Functional Skills equivalent.
* Must be willing to attend relevant training courses.
