Offer description

Successful candidates will be responsible for:

* Serving as primary executive support to senior leadership, providing high-trust administrative support, including managing complex executive calendars to align schedules with evolving business priorities;
* Acting as a liaison between executives and internal/external stakeholders;
* Handling sensitive and confidential information with discretion and professionalism;
* Proactively coordinating client meetings, internal strategy sessions, board engagements, travel, and conferences;
* Preparing briefing materials and ensuring leaders are prepared for high-impact engagements;
* Coordinating travel logistics, itineraries, and expense documentation;
* Supporting the day‑to‑day operations of the DC office to ensure an organized, welcoming, and efficient environment;
* Providing top‑quality service to internal and external stakeholders, including remote and NYC office‑based employees;
* Managing vendor relationships and track operational expenses;
* Maintaining office budget tracking systems and drafting spend recommendations as needed;
* Leading logistics for in‑house and off‑site activities that strengthen culture and collaboration;
* Supporting various contract processes and facilitating reviews with legal team;
* Joining colleagues in building an inclusive environment, actively advancing MissionWired’s DEIB values;
* Serving as a professional representative of MissionWired internally and externally.


Must‑have qualifications:

* 2+ years of experience serving as a primary administrative or operational liaison in a professional office environment;
* Demonstrated ability to anticipate leadership needs and proactively resolve scheduling or workflow bottlenecks;
* Experience supporting senior leadership in a fast‑paced, client‑facing organization;
* Proven ability to build trusted relationships with internal stakeholders;
* Strong judgment and discretion when handling confidential information;
* Demonstrated ability to remain calm, professional, and solutions‑oriented in high‑pressure or time‑sensitive situations;
* Resilience and adaptability in managing shifting priorities, ambiguity, evolving executive needs, and unexpected changes with sound judgment;
* Excellent writing and editing skills;
* Exceptional organizational skills and attention to detail;
* Ability to manage multiple priorities in a deadline‑driven environment;
* Proficiency in Microsoft Office and Google Workspace.


Nice‑to‑have qualifications:

* Experience planning in‑person events or office engagement initiatives is a plus.
