Radiology is a busydepartment providing Xray, CT, MRI, Fluoroscopy, Medical Physics and Ultrasoundservices for the Emergency department, Inpatients and Outpatients. We provide24/7 diagnostic services to the hospital using high quality up-to-dateequipment.

Wehave an exciting opportunity for an enthusiastic and dynamic team player tojoin us as Admin Lead for Radiology. This position is ideally suited to someonewith a leadership background and knowledge of appointment based systems whowants to advance their career in a busy and supportive workplace.


Main duties of the job

Basedin Radiology across CDDFT, the successful candidate will work closely with allmembers of the administrative team, alongside clinical colleagues and seniormanagement within the department.

We are looking for someonewith experience of leading a team across a number of sites, has a strongability to respond to regularly changing priorities and the ability to workeffectively and efficiently, supervising admin colleagues and supporting thewider healthcare team.

A candidate with excellentinterpersonal skills, dedication and the confidence to deal with a wide rangeof matters with tact and diplomacy will thrive in this role. Previousexperience of leading a team and the ability to adapt to change while managingand prioritising a heavy workload in a fast developing environment isessential.

The sucessful candidatewill be required to liaise with and provide support to Consultant Radiologists,maintaining accurate records, checking study leave requests and ensuring theymeet budgetary guidelines.

Theyshould be able to provide leadership management and development to theadmin/clerical staff within Radiology through regular appraisals.

We provide hospital services from two acute sites - Darlington Memorial Hospital and University Hospital of North Durham. We have a centre for planned care in Bishop Auckland and provide care from community hospitals in Chester-le-Street, Shotley Bridge, Barnard Castle, Sedgefield and Weardale as well as over 80 other community based settings and providing care in patients' homes.

From April 9th 2025 - Healthcare assistants - You must have a minimum of two yearsof experience working within the NHS as a HCA for the Trust to considersponsorship (we will only consider sponsorship if you meet this criteria andhave a current visa expiring within 3 months).


Job responsibilities

Providefirst point of contact to support Admin Teams particularly when dealing withdifficult patients or providers.

Organisation and smoothrunning of the admin and secretarial staff including dealing with unplannedstaff absences, planned absences and rotas using Healthroster and ESR.

Recruitment and selectionof staff, ensuring all documentation is complete to Trust requirements.

Conduct staff appraisals inaccordance with Trust Appraisal Scheme in order to promote staff development.

Engagement withdepartmental Clinical Governance meetings, taking minutes and completingagendas and ensure administrative representation at all meetings.

Responsible for ensuringessential staff training is carried out as well as full training in departmentalprocedures and practices.

Managing the administrationof the CRIS Radiology system, updating and amending letters and informationleaflets ensuring standardization across the Trust.

Validation of appointmentwaiting times, ensuring patients target waiting times are met across allmodalities.

Updating departmentalRadiologist calendar regarding annual and study leave.

Producing weeklyRadiologists rota based on current job plans and skill specialities for ClinicalDirector approval prior to disseminating information to relevant parties.

Checking outsourcing claimsto ensure work is completed outside of job planned activity, entering shiftsonto Circular Wave for Radiology Manager to approve.

Working closely with cancerservices, specialist nurses etc. ensuring patients are treated within theprescribed time scales and reports available for MDT discussion.

Managing outstandingunreported exams, chasing up Radiologists and external company to ensure noreports are outstanding longer than 10 days.

Producing reportingproductivity information for Radiology Manager and Clinical Director whenrequired.

Undertaking role ofInformation Asset Administrator to provide support for the control andadministration of information assets within their area/department (detailsavailable on the Health Informatics web page).

Actingas RA Agent supporting the NHS Care Records Service applications usingsmartcards and appropriate access files.


Person Specification


Experience

* Experience in managing staff / team.
* Experience dealing with the general public and the ability to solve problems.
* Previous experience working within the NHS and/or a Radiology Department.
* Experience in managing staff and leadership responsibilities such as managing rotas, absence, 121s and appraisals.


Special Requirements

* Ability to lead and work with the team to support the service whilst ensuring targets are met.
* Good IT knowledge including Word, Excel and Outlook.
* Ability to travel across sites including, Durham, Bishop and Darlington hospitals.
* Knowledge of Data Protection and Caldicott Principles, understanding the requirement to maintain confidentiality.

* Ability to supervise a team on a daily basis, being the first point of contact for queries.
* Ability to use own intitiative to resolve routine queries, in line with departmental procedures.
* Ability to prioritise workload and work under pressure in a busy department.
* Effective interpersonal skills and ability to communicate accurately both verbally and in writing with a wide range of people.
* Flexible approach to work and adaptable to change.
* Knowledge of NHS procedures.
* Knowledge of Radiology systems.


Qualifications

* Good standard of general education, minimum of 3 GCSE's or equivalent at Grade C or above, including English. Or, equivalent experience suitable for role.
* NVQ Level 3 or equivalent in Administration (or working towards) or equivalent knowledge / experience.
