Admin Assistant
Grade 4 – £25,583 - £26,824 pro rata (pending pay award). Permanent, full‑time – 37 hours per week, Term Time Only + 1 additional week. Required to start September 2026, pending DBS clearance. Location: Newton Aycliffe site.
Responsibilities
* Responsible for being the first point of contact for the Head Teacher, welcoming visitors and parents to the school and answering telephone calls, post etc
* Operate the school’s data base (Arbor) keeping the system up to date and current to ensure contact can be made when necessary with all members of staff, pupils and their families
* Prepare and complete documentation and returns in relations to admission and registration procedures and transfers to Secondary Education including, but not exclusively, Common Transfer Procedures (CTF), weekly and monthly electronic registration returns including the monitoring and reporting of pupils’ un-authorised absences.
* Liaise with all feeder and other primary schools when children transfer including CTF and transfer of schools. Assist SLT with transition into and out of school as required including Year 6 transition.
* Assist with the school’s ‘School Start’ and induction sessions, ensuring all families have starter packs and help as required.
* Assist with After School Clubs i.e. ParentPay, chasing of payments and managing communications.
* Assist with educational visits i.e. ParentPay, chasing of payments and managing communications.
* Sort and open incoming mail and distribute as necessary. Prepare outgoing mail, recording same in postage book.
* Use school systems for communication with parents/carers, staff and taxi companies as and when required.
* Be responsible for the free meals system, issuing and processing applications.
* Liaise and agree school meal numbers (UIFSM, FSM and paid) with cook.
* Responsible for the school’s ParentPay system (debt/credit), pupil and staff lunch meals, educational visits, extra curricula and enrichment activities and school photographer.
* Distribute and maintain records of accident/incident reports as required.
* Assist in the organisation and documentation for school medical and dental inspections.
* Type letters, reports and parental/carer letters, photocopy and distribute where and when necessary.
* Deal with pupil/students’ statistical returns including the school census.
* Provide a secretarial and administrative service to the Head Teacher and other senior staff.
* Assist in production of school booklets, brochures and newsletters, when required.
* Filing correspondence and records.
* General photocopying.
* Undergo any necessary training in order to undertake the duties of the post.
* The school admin assistant is expected to support the school’s Relationships and Positive Behaviour policy.
* The school admin assistant is expected to follow the school policy regarding the safety, care, wellbeing and supervision of pupils.
* The school admin assistant is subject to school and DCC policies including Safeguarding Policies and Staff Code of Conduct.
* Any other duties commensurate with the post which from time to time may be asked by the Head Teacher to ensure the smooth running of the school.
* Apply for an Enhanced Disclosure and Barring Service (DBS) check.
