The Receptionist will be an integral member of the Capital, Estates and Facilities Directorate, expected to work quickly, proactively, and accurately in a fast-paced environment to deliver a high-quality and comprehensive service. The post holder will liaise with a variety of internal and external customers, building excellent working relationships and providing an efficient, effective, and professional reception service. They will work as part of the Facilities Team, offering flexible support, including covering for colleagues when necessary, with full training provided.

Responsibilities include:

1. Assist with room booking requests/queries via telephone or email, booking rooms on behalf of users and escalating issues to the Manager.
2. Use the MICAD Room Booking System to prevent double bookings, cancel bookings, and prioritize requests.
3. Act as the first point of contact for visitors, ensuring a welcoming, courteous, and professional attitude, and managing sign-in procedures.
4. Contact staff to announce visitor arrivals and ensure all reception duties are performed timely and accurately.
5. Respond to emails received in the 'generic reception email' account and handle requests/queries.
6. Ensure meeting rooms are prepared and equipped with working AV equipment before meetings.
7. Coordinate with the Logistic Team for room layouts and partition adjustments.
8. Process parking payments (cash and card) and liaise with the Help Desk Team regarding payments.
9. All positions require satisfactory pre-employment checks, including DBS checks, with enrolment in the DBS Update Service at a fee of £16 per year.
