About The Role
PD&MS Group has a great opportunity for a Purchase Ledger Assistant to join our progressive Finance team based in Aberdeen on a full-time basis.
The Purchase Ledger Assistant will provide accurate and efficient data entry to the Purchase Ledger, adhere to relevant accounting controls and procedures, assist in maintaining good supplier relationships, and support the production and reporting of Purchase Ledger information as required.
We are seeking candidates with some exposure to a similar role within finance or recent finance qualification graduates seeking their first role; full training will be provided.
Responsibilities
1. Receive, check, process, and pay all Contractors invoices and expenses.
2. Receive, check, process, and pay all third-party invoices.
3. Receive, check, process, and pay all employee expense claims.
4. Maintain Contractor spreadsheets and update relevant logs and accounting records.
5. Maintain Purchase Ledger Log, ensuring it is up to date at the close of each business day.
6. Ensure all invoices are correctly authorized before payment.
7. Maintain audit trails—scan, photocopy, file, and archive as required.
8. Investigate and resolve debit balances on vendor accounts.
9. Assist with self-billing routines as required.
10. Manage and resolve external supplier queries.
11. Ensure relevant Vendor Forms are completed, authorized, and filed.
12. Assist with the completion of credit applications for new suppliers.
13. Maintain vendor records in Sage 200 and BankLine.
14. Accurately record and report VAT, perform VAT checks on new suppliers/contractors, and reconcile supplier statements.
15. Generate weekly supplier payment runs.
16. Manage internal invoice queries to ensure efficient processing of invoices.
17. Assist in other areas of the Finance department as required.
18. Maintain professional development and undertake necessary competency requirements timely.
19. Adhere to the company’s integrated management system and comply with quality assurance, health and safety, and environmental policies.
20. Demonstrate and promote PD&MS QHSE principles and values.
21. Ensure unsafe activities are challenged and best practice standards are followed.
About You
Qualification / Training
* Educated to Standard Grade Level or equivalent with passes in Mathematics and English.
Experience / Competence
* Experience with corporate systems such as Sage.
* Proficient in MS Office, especially Excel.
* Experience in a similar role.
* Excellent written and spoken English skills.
