Responsibilities
* Monitor and maintain the condition of all company vehicles, ensuring they are roadworthy and presented to a high standard.
* Schedule and coordinate routine inspections, servicing, MOTs, and maintenance in collaboration with our inhouse mechanic or external providers.
* Manage and action vehicle defect reports submitted by drivers, ensuring timely repairs and rectification.
* Oversee vehicle cleanliness, security, and branding standards.
* Ensure the entire fleet complies with DVSA, VOSA, and internal standards for vehicle safety, emissions, and documentation.
* Keep up-to-date records of vehicle maintenance, inspections, MOTs, insurance, and servicing using fleet management systems.
* Notify insurance providers promptly of any changes to the vehicle fleet, driver assignments, usage categories, or risk-related information to maintain accurate and valid cover.
* Ensure drivers operate within legal parameters (tachograph, vehicle checks, licence requirements).
* Support the preparation for audits or roadside inspections, ensuring documentation is accurate and available.
* Perform regular driving licence checks of all drivers.
* Conduct vehicle and equipment handovers with new and current drivers, including checklists and briefing on operational standards.
* Ensure all drivers are completing vehicle safety checks and defect logs accurately.
* Investigate driver-reported vehicle issues or incidents and liaise with maintenance teams for resolution.
* Support training and coaching of drivers on vehicle-related matters, including safe use, pre-use checks, and reporting processes.
* Log and investigate any incidents or breakdowns involving company vehicles.
* Liaise with insurance, maintenance, and health & safety teams as needed.
* Ensure follow-up actions are implemented, and learnings are communicated to reduce future risk.
* Maintain accurate records in line with company policy and legal requirements via our CRM system.
* Provide regular reports to management on vehicle condition, downtime, costs, and compliance performance.
* Assist in the procurement or disposal of vehicles and associated equipment.
* Monitor, manage, and process traffic and parking fines or penalties, ensuring timely payment and accurate record-keeping.
Required Qualifications & Experience
* At least 3 years experience in a transport, fleet, or vehicle maintenance supervisory role.
* Strong knowledge of commercial vehicle compliance and UK road transport legislation.
* Familiarity with vehicle defect reporting systems and workshop coordination.
* Full UK Driving Licence (LGV/HGV licence preferred but not essential).
Skills & Competencies
* Excellent attention to detail and a proactive approach to vehicle management.
* Strong communication and team supervision skills.
* Well-organised and confident using digital fleet systems and Microsoft Office.
* Capable of balancing compliance, safety, and operational requirements under pressure.
