Admin and Organisation Level 4 – SIMS and Exams Officer
Permanent: 37 hours per week, 40 weeks. Commencing 1st September 2025
Working Hours: 8am – 4pm Monday to Thursday 8am – 3.30pm Friday
Salary: Grade 6

An exciting opportunity to work in a state of the art educational and community provision. The Governors at Ysgol Bae Baglan are seeking to appoint a Permanent Admin and Organisation Level 4 – SIMS and Exams Officer, 37 hours per week, 40 weeks per year. Commencing 1st September 2025. The successful applicant will work as part of a large Admin Team supported by the Deputy Headteacher and Strategic School Business Manager. The post holder will be required to have a good level of SIMS and data management knowledge. A knowledge and experience of the management of exams in a school setting is desirable, however this aspect of the role will be developed through on-going supportive training.
Main tasks and responsibilities linked to the job description
1. Management of pupil information including completing the school census (PLASC), ensuring systems (SIMS) are updated and good housekeeping of data.
2. Creating marksheets for tracking pupil performance and report templates to produce pupil reports and distribution of these.
3. Preparation and upkeep of pupil timetables including entering data for all timetables and admission of all pupils throughout the year.
4. Provide all management and organisation for the administration of all external examinations and to ensure these are conducted in accordance with the Joint Council of Qualifications (JCQ) regulations.
5. To arrange invigilation including briefing invigilators in school procedures. To be present and available in school on the days when results are released and overseeing the distribution of results to candidates.
6. Ensuring safe and secure storage of all examination materials, in accordance with JCQ regulations.
7. To organise examination rooms, in accordance with JCQ regulations, including producing seating plans for allocated rooms.
8. To produce and publish examination timetables
