We're seeking a proactive, organised Office Coordinator to join our team. This traditional on site role blends project administration, personal assistant (PA) support, and efficient management of incoming calls through our ticketing system. You'll be the linchpin of our office operations, ensuring seamless communication, documentation, and project support for a busy, high-performing team. Strong customer case skills required. This role would suit someone with a HR administration based background.
Knowledge & Skills
Project Administration: Support project managers with documentation, scheduling, and progress tracking. Maintain accurate records, update project boards (e.g., ), and assist with reporting.
PA Support: Provide diary management, travel booking, and administrative support to directors. Prepare meeting agendas, take minutes, and follow up on action items.
Call Logging & Ticketing: Answer incoming calls, log enquiries/issues in the office ticket system, and assign tickets to the relevant team members. Monitor ticket progress and ensure timely resolution.
General Office Coordination: Manage office supplies, coordinate facilities, handle post, and assist with onboarding new starters.
Experience
Highly organised, detail-oriented, and able to juggle competing priorities
Excellent communication skills (written and verbal)
Confident using office software (Google Workspace,, ticketing platforms)
Friendly, professional manner with a service-focused mindset
Discreet, trustworthy, and comfortable handling confidential information
