An opportunity has arisen for an enthusiastic motivated individual to join our Speech & Language Therapy team as an Administrator.
This role requires excellent communication skills with positive, caring and supportive interactions with patients. It involves providing an efficient and effective administrative service across the entire team, liaising with Speech & Language Therapists across all sites, booking patients into scheduled appointments, and supporting IT systems for managing outpatients and inpatients.
Contract and Hours
Main area: Speech & Language Therapy; Grade Band 3, Fixed term: 12 months (Bank posts also considered).
Hours: full time, part time, flexible working. 37.5 hours per week, with a reasonable split across Monday to Friday.
Salary: £25,760 – £27,476 per annum, pro rata.
Responsibilities
- Deal with all telephone enquiries from patients, GPs, and other departments within UHSussex and community services efficiently and effectively.
- Make independent decisions regarding enquiries and advise the appropriate people or staff.
- Answer sensitive enquiries on the telephone, establishing and maintaining effective communication with all members of the public.
- Act as a central liaison and information point for SLT services.
- Handle all queries in an efficient and courteous manner using judgment and prioritisation skills.
- Develop and maintain effective working relationships with clinical and managerial staff across the Trust.
- Ensure that information is disseminated effectively and appropriately to staff across the site in a timely manner.
- Take clear and accurate messages and ensure prompt delivery to the appropriate person.
- Escalate to clinical staff any issues that require intervention.
- Work with colleagues to ensure accurate and timely data input into a variety of systems to support patient care and maximise income streams.
- Possible additional hours may be requested if capacity allows.

Internal applicants should note that this opportunity will be offered on a secondment basis. Release to undertake a secondment is not automatic and must be agreed between the colleague, their current line manager, and the recruiting line manager.

The post does not meet the minimum criteria for visa sponsorship under current UK immigration rules. Applicants must already have the right to work in the UK to be considered. If using a Graduate visa, a minimum of 18 months remaining on the visa is required.
Qualifications and experience
- Experience using a database.
- Strong working knowledge of basic computer packages: Word, Excel, Outlook.
- NVQ/NCFE Level 4, BTEC or equivalent.
- OCR (RSA) Level 3 in administration or equivalent.
- Equivalent of GCSE/O Level English and Maths.
- Good working knowledge of medical terminology.
- Experience working in an NHS environment.
- Knowledge of UHSussex policies and procedures.
Skills
- Excellent numeracy and literacy.
- Ability to prioritise workload in a changing and demanding environment.
- Skills with IT software such as Bamboo, Panda, Mediviewer.
- Careflow computer training.
