Job overview

This job has a key role within Endoscopy Unit providing clerical, reception and administration support to the Unit.

The successful candidate will be able to deal face to face and on the telephone with a wide range of public and professional staff in a courteous and professional manner and will be able to maintain confidentiality at all times.

The ideal candidate will be well organised, flexible and possess excellent keyboard skills.

Main duties of the job

Providing reception and clerical support to the unit, working on reception admitting patients to the unit for their procedure, discharging patients and arranging follow up, also includes office duties.

Detailed job description and main responsibilities

Duties and Responsibilities

* Provides effective verbal, written and electronic communications by receiving and passingon clear messages and seeking assistance when required
* Answer telephones and relay messages and enquires in a timely manner e.g. to nurse,doctors and patients.
* Acts as first point of contact for the person in charge dealing appropriately with allcommunications and tasks allocated, including sensitive issues.
* Work closely with and support the Co-ordinator.
* Liaises with patients, relatives and visitors on the department providing directions andinformation as required. Also obtaining the appropriate support when needed form themulti-disciplinary team
* Maintain and photocopy records, prepare forms and make appointments as requested. Thismay include organising transport arrangements, ensuring that information give is accurateand up to date.
* Ensure patient’s pathway is printed and available for nursing/medical staff
* Scan all pathways for admission.
* Ensure name beds are printed out for all patients.
* Uses the PAS /MSS system effectively inputting data, checking the recorded personaldemographic details are correct. Updating demographic details as needed.
* Liaising with the multi-disciplinary team and assisting in chasing up procedures. Requestingand obtaining investigation reports and informing the relevant staff member the results are
available.
* Receives and processes mail and specimens, delivering to the correct ward/department.
* Maintaining stationary and stock levels. This would include ordering, receiving andchecking deliveries are accurate and reporting any discrepancies.
* Maintain the tidiness of the nurses’ station ensuring adequate stock is at hand that may berequired by the multi-disciplinary team.
* Establish and maintain an effective filing system

Planning and Organisational Duties

* Use initiative to promote new ideas and to improve service in consultation with thedepartmental manager and team.
* Plans and organises own day to day activities to achieve duties specified and to meet departmental requirements.

Qualifications

* Educated to GCSE including Maths and English or equivalent experience


Experience

* To be able to work with frequent interruptions in a busy environment
* To work efficiently to targets and deadlines.
* Must work well as part of a team but also able to work on own initiative.
* To be able to prioritise and manage workloads


Skills

* To have keyboard skills
* To demonstrate a good telephone manner
* To demonstrate excellent communication skills with all disciplines of staff
* Good organisational skills
* To be able to prioritise and manage workloads.
* Ability to learn quickly and adapt to change in circumstances


Knowledge

* Knowledge of general office systems and protocols in a customer related environment
* Ability to follow guidelines and procedure


Additional

* Must be able to work flexibly and where appropriate cover annual leave or sickness
* Speak English to an appropriate standard relevant to their role, i.e. with confidence and accuracy, using correct sentence structures and vocabulary, and without hesitation.
