Role Overview:
We are seeking a proactive, highly organised Events & Marketing Coordinator to join our growing team in the medical device industry. You will be responsible for planning, executing, and managing a busy calendar of external exhibitions, professional education courses, internal training events, and our annual international sales meeting. This hands-on role involves close collaboration with the Sales & Marketing and Professional Education teams and will play a key part in supporting our commercial growth across the EU.
Key Responsibilities:
Event Management (Primary Focus)
* Plan, coordinate, and deliver logistics for:
* • 20+ external congresses/exhibitions annually (booth, collateral, transport, accommodation)
* • 9 professional education training courses (venues, AV, catering, delegate support)
* • 6 internal training events (sales onboarding, technical training)
* • 1 annual international sales meeting (multi-day, including social events and travel logistics)
* Monitor event budgets, procurement, invoicing, and reconciliation.
* Coordinate with congress organisers to secure booth space, sponsorships, speaking slots, and marketing opportunities.
* Oversee onsite execution, including setup, breakdown, and real-time troubleshooting.
* Collect post-event feedback and report on KPIs.
Marketing Support
* Coordinate the production of event-related marketing materials (flyers, banners, merchandise, digital assets).
* Support social media and email campaigns for event promotion and lead nurturing.
* Liaise with internal stakeholders to ensure brand and messaging consistency.
* Maintain marketing collateral and event inventory (stand materials, demo kits, giveaways).
* Update website and CRM with upcoming events, contacts, and outcomes.
Administrative & Operational Support
* Maintain the annual event calendar and project timelines.
* Manage delegate invitations, registration, and post-event follow-up.
* Liaise with suppliers, venues, and logistics providers.
* Maintain accurate records and reports for compliance, budgeting, and auditing.
Required Skills & Experience:
* Minimum 2 years' experience in event coordination (preferably in healthcare, medical, or life sciences)
* Strong organisational skills with ability to manage multiple projects simultaneously
* Confident communicator with excellent interpersonal skills
* Proficient in Microsoft Office Suite; experience with CRM and marketing tools (e.g. HubSpot, Mailchimp) is a plus
* Experience coordinating international events, including travel and customs documentation
* Understanding of regulatory and compliance considerations in healthcare marketing is an advantage
* EU travel flexibility (~40% travel)

Qualifications:
