Position: Operations/Billing Administrative Assistant Company: Legend Oilfield Services Location: Devon, AB Position Summary: The Operations/Billing Administrative Assistant is responsible for supporting daily business operations by ensuring accurate billing, efficient revenue collection, and effective administrative coordination between operations, dispatch, and finance teams. This role works closely with field staff and management to maintain accurate records, support operational workflows, and help identify and resolve billing or process discrepancies. Key Responsibilities: Perform accurate data entry for daily tickets, Bills of Lading (BOLs), Proofs of Delivery (PODs), Shop Work Orders, and Wash Bay tickets. Prepare, review, and distribute sales invoices in a timely manner, ensuring accuracy and compliance with customer agreements. Audit drivers’ timesheets, fuel reports, and delivery documentation to verify hours worked, services completed, and supporting records. Ensure correct pricing, purchase order numbers, and proper revenue and shop expense coding for each unit. Set up new customers in the Axon system, process customer credit applications, and receive and reconcile Purchase Orders (POs). Respond to customer billing inquiries professionally and resolve discrepancies in collaboration with internal teams. Act as backup support for Accounts Receivable (A/R) and provide administrative support to operations and accounting teams as required. Skills & Qualifications: 3 years of experience in billing, accounts receivable, or administrative support roles. Strong data entry skills with a high level of accuracy and attention to detail. Proficiency in Microsoft Excel and accounting or ERP systems. Ability to manage multiple tasks, meet deadlines, and prioritize workload effectively. Strong verbal and written communication skills.
