Position Summary The Logistics Assistant plays a key role in the smooth day-to-day running of the warehouse, supporting inventory management, coordinating inbound and outbound shipments, and maintaining accurate records. Reporting to the Logistics Manager, this role ensures inventory accuracy, helps maintain a clean and safe working environment, and provides vital support in preparing precise shipping and receiving documentation—particularly in line with HMRC audit requirements. By ensuring the efficient movement of goods and information, the Logistics Assistant contributes directly to the overall effectiveness of warehouse operations. Reporting Structure Reports to: Logistics Manager Responsibilities Prepare shipping and delivery documents, including labels, manifests, and invoices. Generate delivery notes and coordinate outbound shipments to customers. Receive and verify incoming deliveries, ensuring accuracy between box count and accompanying paperwork. Supervise loading and unloading of goods, maintaining proper handling to prevent damage or loss. Maintain and update inventory and delivery data in warehouse systems and Excel. Process prior day’s documentation and distribute to appropriate departments. Support monthly stock counts and ongoing stock control processes. Liaise with suppliers, couriers, and internal teams to plan logistics and resolve issues. Coordinate with departments to fulfil orders and meet delivery timelines. Archive import/export documents and ensure Customs processes are properly integrated. Collaborate with the accounts team to address invoice discrepancies and provide required documentation. Prepare and deliver reports on inventory, productivity, and performance metrics. Uphold and refine standard operating procedures to enhance operational efficiency. Key Skills And Requirements Good standard of written and spoken English Strong attention to detail and accuracy in data handling. Excellent organisational skills and the ability to prioritise effectively. Confident communicator with solid interpersonal skills. Competent in Microsoft Office, particularly Excel, Word, and Outlook. Familiarity with SAP or willingness to learn (training provided). Self-motivated with a proactive and positive approach. Hands-on experience with inventory systems and stock control procedures. Capable of operating warehouse equipment (e.g. forklifts, pallet jacks) – Counterbalance Forklift Licence preferred. Working knowledge of warehouse safety regulations. Comfortable with numerical tasks, stock tracking, and maintaining accurate records. Flexibility to work varied shifts, including evenings and weekends if required. Full UK manual driving licence with a clean record.
